Job Description

We are looking for an Intake Coordinator to join a fast-paced team in Connecticut in a contract capacity with the potential for a permanent role. This position serves as a key first point of contact for customers, ensuring each interaction is handled with professionalism, empathy, and attention to detail. The ideal candidate will be comfortable managing high call volume, gathering accurate case information, and keeping internal records organized to support timely service delivery.
Responsibilities:
  • Serve as the first point of contact for inbound callers, responding with courtesy, professionalism, and a customer-focused approach.
  • Gather and document complete intake details, including customer information, property specifics, insurance data, and incident-related facts.
  • Open new service cases in internal platforms and ensure all lead information is entered promptly and accurately.
  • Arrange calendars and appointments for Project Managers and Field Crews to support efficient response scheduling.
  • Keep customers informed about expected response times and confirmed appointment windows.
  • Route calls to the appropriate team members through warm handoffs to promote a smooth customer experience.
  • Maintain up-to-date electronic records by entering new details and revising case information as updates are received.
  • Prepare daily intake activity summaries for Operations leadership to support visibility into workflow and volume.
  • Provide administrative assistance across office operations, including support for HR-related and general business needs as assigned.
  • Assist the team during storm-related events and other emergencies when call activity increases significantly.
