This role is essential to ensuring accurate billing, and insurance processing, while also providing general clerical and administrative support. The ideal candidate is comfortable working in a busy behavioral health environment, has strong knowledge of medical billing procedures, and is proficient in managing electronic medical records. Key Responsibilities Provide administrative and clerical support to ensure efficient daily operations within the Outpatient Psychiatry department. Answer and direct incoming phone calls, respond to patient inquiries, and relay messages to clinical staff. Schedule patient appointments including new intakes, follow-ups, and therapy sessions while managing cancellations and rescheduling as needed. Greet and check in patients, verify demographic and insurance information, and ensure all required forms and documentation are completed. Maintain and update patient information within the electronic health record (EHR) system, including scanning and uploading documents. Coordinate referrals, contact patients to schedule appointments, and track referral status. Assist with insurance verification and maintain accurate patient insurance information. Prepare and organize daily billing or encounter forms for clinicians as needed. Maintain patient records in compliance with confidentiality and HIPAA guidelines. Support communication between front office staff, clinicians, and other departments to ensure smooth patient flow. Conduct follow-up calls for appointment reminders, missed appointments, and scheduling needs. Assist with maintaining office supplies, organizing paperwork, and supporting general administrative tasks. Maintain daily logs, trackers, or reports related to scheduling, referrals, and patient follow-ups.
