Full Job Description Job Overview:
We are seeking a detail-oriented and organized Physical Therapy Scheduling Specialist to join our team. In this role, you will be responsible for answering incoming calls for our Physical Therapy department, scheduling patient appointments, processing referrals, and assisting patients with questions regarding their care. The ideal candidate will provide excellent customer service while efficiently managing a high volume of calls, appointments, and referral requests.
Responsibilities:
Answer incoming phone calls for the Physical Therapy department in a professional and courteous manner Assist patients with scheduling, rescheduling, and confirming Physical Therapy appointments Schedule new patient evaluations and follow-up Physical Therapy appointments based on provider recommendations and availability Process Physical Therapy referrals and ensure all necessary information and documentation is received Review referrals for accuracy and completeness and follow up with referring offices when additional information is needed Communicate with patients, referring providers, and insurance companies as needed regarding referrals, appointments, and insurance requirements Verify insurance information and assist with determining whether authorization or additional documentation is required for Physical Therapy services Maintain accurate records of referrals, authorizations, and patient appointments Assist patients with questions regarding Physical Therapy services, appointments, and the referral process Coordinate with Physical Therapists, providers, and other staff to ensure efficient patient scheduling and continuity of care Work closely with the billing and clinical teams to resolve issues related to referrals, insurance, or patient appointments Maintain compliance with HIPAA and company policies regarding patient information Perform other administrative and patient service duties as needed
Qualifications:
Previous experience in a medical office, Physical Therapy setting, or healthcare environment preferred Previous experience answering phones and scheduling patient appointments preferred Knowledge of medical terminology and HIPAA regulations Familiarity with referrals, insurance verification, and authorization processes preferred Strong customer service and communication skills, both written and verbal Strong attention to detail and ability to work accurately with patient information Ability to multitask and prioritize tasks effectively in a fast-paced environment Strong organizational and follow-up skills Proficient in using computer systems, electronic medical records, and standard office software Ability to work effectively as part of a team
