Intake Coordinator
Job Description
Description We are looking for a compassionate and organized Intake Coordinator to support patient access services for a mental health practice in Orlando, Florida. This contract position with the potential to become permanent focuses on creating a welcoming and efficient intake experience for new and returning patients while helping the care team maintain accurate documentation and timely scheduling. The ideal candidate brings strong communication skills, attention to detail, and a solid understanding of behavioral health services and insurance processes.
Responsibilities:
- Guide new and returning patients through the intake process, ensuring each interaction is supportive, efficient, and respectful.
- Coordinate appointment scheduling and assessment logistics by working closely with clinicians to align patients with the appropriate level of care.
- Enter, update, and maintain patient records with accuracy while ensuring documentation is completed promptly and in accordance with practice standards.
- Confirm insurance eligibility, review benefits, and secure required authorizations before services are delivered.
- Act as a central point of communication for patients, family members, and clinical staff throughout the admission and onboarding process.
- Share relevant community-based resources and referral options to help patients access appropriate support services.
- Monitor intake procedures and recommend workflow improvements that strengthen the patient experience and increase operational efficiency.
- Uphold regulatory and organizational requirements related to intake, recordkeeping, and patient coordination.
- Provide general administrative and office support as needed to assist daily operations at the local site. Requirements
- Associate degree in psychology, social work, healthcare administration, or a related field, or at least 3 years of experience in a behavioral health or psychiatric setting.
- Working knowledge of mental health conditions, treatment approaches, and crisis response principles.
- Experience with client intake, patient scheduling, and insurance verification within a healthcare or behavioral health environment.
- Ability to manage detailed documentation accurately using office systems or content management platforms.
- Strong interpersonal skills with the ability to communicate effectively with patients, families, clinicians, and administrative staff.
- Excellent organizational and problem-solving abilities in a fast-paced setting.
- Comfortable handling a variety of office tasks while supporting day-to-day clinic operations.
