This position supports both administrative and clinical teams to ensure seamless patient flow and high-quality service. Key Responsibilities Patient Experience & Check-In Greet patients warmly and maintain a professional environment Verify/update demographics, insurance, and consent forms Ensure patients are acknowledged and assisted promptly Scheduling & Communication Schedule and confirm appointments accurately Send intake forms and patient portal access Communicate professionally via phone, text, email, and EHR Phone & Message Management Answer calls promptly with excellent phone etiquette Take and relay detailed messages Respond to voicemails, emails, and EHR messages efficiently Insurance & Billing Support Verify insurance eligibility (Availity preferred) Maintain insurance/self-pay cases Process payments, receipts, and daily cash logs Documentation & Chart Management Scan, label, and upload documents in EHR Manage lab results, faxes, and patient records Prep charts and confirm labs for upcoming visits Office Coordination Maintain a clean, organized front desk and lobby Coordinate with providers on labs, prescriptions, and follow-ups Assist with faxes, shipping, and administrative tasks Qualifications 1-2 years of medical front desk or healthcare admin experience Experience with EHR systems and Google Workspace Strong communication and customer service skills Excellent organization and multitasking ability High attention to detail and accuracy Preferred Experience Medical terminology and insurance billing knowledge Experience in aesthetics, wellness, or family practice Familiarity with Availity and CoverMyMeds Work Environment In-person role in a professional medical office Requires standing, sitting, and walking for extended periods Occasional lifting up to 15 lbs Why Join Us Supportive and positive team environment Growth opportunities within a rapidly expanding practice Opportunity to work in both medical and aesthetic care Job Type Full-time or Part-time Apply Today If you are organized, personable, and thrive in a fast-paced healthcare environment, we'd love to meet you!
