Duties Greet patients warmly, verify insurance information, and assist with check-in/check-out procedures using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth. Schedule appointments efficiently across multiple clinics, utilizing medical scheduling software and maintaining accurate calendar updates. Review and update patient records, ensuring compliance with HIPAA and clinical confidentiality policies while managing electronic health records (EHR) systems like eClinicalWorks or Meditech. Assist with medical billing and collections by verifying insurance coverage, submitting claims, and following up on outstanding balances using medical collection protocols. Support clinical staff by preparing documentation review, coding procedures with CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding standards for accurate billing. Handle phone communication professionally, providing clear information to patients regarding appointments, insurance questions, or general inquiries while practicing excellent phone etiquette. Maintain organized medical files, perform filing tasks, and ensure all documentation aligns with health information management standards. Collaborate with team members across clinics to ensure seamless office operations while demonstrating proficiency in Microsoft Office tools for reports and correspondence. Qualifications Proven experience in a medical office setting or clinic environment with strong knowledge of medical administrative support functions. Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is essential. Knowledge of health insurance processes including Medicare, Medicaid, HIPAA regulations, and health information management practices. Experience with medical coding (CPT, ICD-9/10), billing procedures, and documentation review is highly preferred. Excellent customer service skills combined with professional phone etiquette and strong communication abilities. Bilingual skills are a plus to serve diverse patient populations effectively. Strong computer skills including proficiency in Microsoft Office Suite; typing speed of at least 10 key per second is desirable. Ability to adapt quickly to changing priorities while maintaining attention to detail in clerical tasks such as filing and data entry. Previous experience working in dental clinics or other outpatient healthcare settings is advantageous but not required.
