Our team focuses on creating a supportive patient experience from the first point of contact through ongoing treatment coordination. We are seeking a bilingual (Spanish/English) Intake Patient Coordinator who is organized, compassionate, and passionate about helping patients navigate mental health services. Position Overview The Intake Patient Coordinator is responsible for managing the patient journey from initial intake through appointment scheduling and ongoing follow-up. This role serves as a key connection between patients, providers, attorneys, and referral sources, helping patients access mental health services in a timely and supportive manner. The ideal candidate is highly organized, comfortable handling sensitive patient conversations, and able to maintain professionalism while working in a fast-paced environment. Key Responsibilities Patient Intake & Coordination Serve as the primary point of contact for patients seeking mental health services. Conduct patient intake calls and gather required demographic, insurance, claim, and referral information. Educate patients on available treatment options, appointment expectations, and virtual visit procedures. Build rapport with patients while maintaining professionalism and empathy. Appointment Scheduling Schedule and coordinate virtual psychiatric and therapy appointments. Manage provider calendars and maximize scheduling efficiency. Coordinate appointment availability based on provider schedules and patient preferences. Handle appointment confirmations, cancellations, and rescheduling requests. Patient Communication Contact patients regarding appointment reminders, treatment follow-ups, and documentation needs. Address patient questions related to scheduling, intake requirements, and treatment processes. Communicate professionally with patients experiencing emotional distress, anxiety, or other mental health challenges. Provider & Referral Coordination Partner closely with therapists, psychiatrists, and other behavioral health providers to support patient care. Communicate with attorneys, case managers, and referral sources when appropriate. Assist with obtaining and organizing necessary documentation for treatment initiation. Documentation & Compliance Maintain accurate records within company systems and electronic health records. Document patient interactions, scheduling updates, and referral information. Protect patient privacy and maintain HIPAA compliance at all times. Performance & Reporting Track appointment attendance, cancellations, and patient engagement metrics. Assist leadership with reporting and operational support as needed. Identify scheduling challenges and recommend process improvements. Qualifications Required Fluent in both Spanish and English. 1+ year of experience in a healthcare, patient coordination, medical scheduling, or customer service role. Strong communication and interpersonal skills. Excellent organizational and time-management abilities. Ability to multitask and work effectively in a fast-paced environment. Experience working with scheduling software, EHR systems, or healthcare platforms. Strong attention to detail and documentation accuracy. Understanding of HIPAA and patient confidentiality requirements. Preferred Experience in Personal Injury healthcare. Experience working in behavioral health, mental health, psychiatry, psychology, or counseling environments. Familiarity with telehealth platforms and virtual healthcare services. Knowledge of medical terminology and behavioral health treatment processes. Compensation $48,000 - $50,000 annually Compensation is based on experience, qualifications, and relevant industry background. Bonus opportunities may be available based on performance.
