Our organization is recognized for its high standards of care, including NCQA accreditation and Patient-Centered Medical Home (PCMH) Level 3 designation. Job Overview We are seeking a dedicated and detail-oriented Optometry Patient Representative to join our healthcare team. The ideal candidate will possess excellent communication skills, strong administrative abilities, and a passion for delivering exceptional patient service within a busy optometry setting. This role involves managing patient interactions, coordinating appointments, and supporting clinical staff to ensure smooth clinic operations while maintaining confidentiality and compliance with healthcare regulations. Duties Greet patients warmly and assist them with check-in procedures at the front desk, ensuring a positive first impression. Schedule and confirm appointments using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth. Collect and verify patient information, including insurance details, medical history, and demographic data, adhering to HIPAA confidentiality policies. Manage medical billing and collections accurately using CPT coding, ICD-10/ICD-9 codes, and Medicare guidelines. Review medical documentation for completeness and accuracy prior to provider review, ensuring compliance with clinical confidentiality policies. Handle phone communication professionally, providing clear information about clinic services and appointment availability while demonstrating excellent phone etiquette. Maintain organized medical records and ensure proper filing within electronic health records (EHR) systems; perform data entry with high accuracy using typing and 10-key skills. Support clinical staff by coordinating care plans and assisting with administrative tasks related to patient flow and clinic operations. Utilize computer skills across various platforms such as Microsoft Office to prepare reports or correspondence as needed. Uphold clinic experience standards by delivering outstanding customer service in a fast-paced environment while adhering to office policies. Experience Candidates should have prior experience in medical administrative support within a healthcare setting, preferably in an optometry or dental clinic environment. Experience with EMR/EHR management systems such as Epic, Meditech, or Athenahealth is essential. Familiarity with medical coding (ICD-10/ICD-9), billing procedures, health insurance processes—including Medicare—and documentation review is highly desirable. Bilingual abilities are a plus to effectively serve diverse patient populations. Candidates must demonstrate strong organizational skills, attention to detail, proficiency in computer applications like Microsoft Office, and excellent communication skills both over the phone and in person. Previous front desk or medical receptionist experience combined with knowledge of clinical confidentiality policies will be advantageous for success in this role.
