Appointment Scheduler - Women's Health Advantage Associated Surgeons and Physicians, LLC Fort Wayne, IN Job Details Full-time 17 hours ago Qualifications Customer communication High school diploma or GED Full Job Description Responsible for scheduling patient appointments accurately and timely while providing superior customer service in a fast-paced, high-volume call environment . This position requires previous relevant medical experience and the ability to manage a high volume of incoming patient calls while maintaining accuracy, professionalism, and efficiency.
RESPONSIBILITIES
Accurately schedules, reschedules, and cancels patient appointments as required. Answers patient inquiries related to office visits, procedures, and appointment scheduling. Manages a high volume of incoming patient calls while providing professional, courteous, and efficient customer service. Transfers calls to the appropriate staff member or department based on patient needs, including transferring calls to clinical staff when nursing assistance is required. Provides appropriate instructions to patients to ensure they are prepared for examinations, procedures, and appointments. Accurately obtains and enters patient demographic and insurance information. Ensures all necessary and pertinent patient information is accurately captured and proactively identifies and addresses discrepancies or missing information. Monitors and addresses flags or alerts related to billing/financial matters, account restrictions, and other account-related concerns. Takes appropriate action, including transferring patients to the billing department or other appropriate department in accordance with established policies. Efficiently navigates and monitors the patient secure messaging system and assists patients as needed, ensuring inquiries are addressed promptly and appropriately. Follows all policies and procedures established by the company and department leadership. Strictly adheres to HIPAA requirements and company policies regarding patient privacy and confidentiality. Maintains accurate and timely documentation and recordkeeping. Participates in meetings and training as required. Assists with other clerical and administrative responsibilities as needed. Performs other duties as assigned.
JOB TYPE
Full-time, onsite 40 hours per week Monday through Friday 8-hour shifts
QUALIFICATIONS
High school diploma or GED required. Previous relevant medical experience is required. Experience working in a high-volume medical call, scheduling, or patient access environment is strongly preferred. Previous experience in a medical office, physician practice, healthcare scheduling, patient access, medical reception, or similar healthcare setting. Experience scheduling patient appointments and communicating with patients regarding medical services preferred. Ability to efficiently manage a high volume of incoming calls while maintaining excellent customer service and attention to detail. Strong verbal and written communication skills. Ability to accurately obtain and enter patient demographic and insurance information. Proficiency with computer programs, telephone systems, electronic health records, and patient messaging or engagement platforms. Strong multitasking, organizational, and problem-solving skills. Ability to work effectively and remain professional in a fast-paced environment. Strong attention to detail and commitment to patient confidentiality and HIPAA compliance.
