Registrar

Required Qualifications:
  • Associate degree or willing to obtain one within a set timeline
  • One year experience with student enrollment systems and processes
Preferred Qualifications:
  • Bachelor's Degree, Strongly Preferred
  • One year experience analyzing transcripts and making transfer determinations
    Knowledge, Skills,
  • Ability to work with data utilizing complex software systems
Abilities:
  • Ability to accurately report data to internal and external constituents
  • Decision making and data analysis input skills
  • Excellent communication, organization and conflict management skills
  • Ability to review transcripts, analyze and make accurate student recommendations
  • Proficiency in computer operations systems, database software including Microsoft
    Office Suite
  • Ability to work independently as well as a team environment
  • Ability to maintain confidentiality and professionalism at all times
Position Summary:

This position is responsible for review of all incoming and outgoing transcripts and making

determinations based on data and individual student needs for degree competition and

transfer of credit. Responsible for maintaining accurate student documentation, data entry,

program and course credit hour and student enrollment.

Essential Job Functions:
  • Maintain procedures for Registrar's Office and ensure procedures are followed
  • Send SATC academic transcripts in a timely manner (typically within 24 hours of the transcript request)
  • Attend and participate in Academic Affairs Meetings, ensure approved course/program changes/additions are processed through all systems
  • Process, manage, and maintain confidentiality of student academic records
    oGrade Entry/ Grade Changes
    oAdd/Drops/Withdrawals
    oName Changes
    oAddress Updates
  • Coordinate with Enrollment Specialists on registration for classes during a given semester
  • Verify/Complete Enrollment Verifications/Certifications as needed for students
  • Determine Student Academic Standing, communicate standing with students and Enrollment Specialists, placing and removing student probation and suspensions, and updating SIS with each student's current academic standing
  • Coordinate with Enrollment Specialists on registration and matriculation requirements
  • Ensure student grades are collected, entered and reported accurately and in a timely manner
  • Work with Vice President of Student and Academic Affairs and academic departments to determine educational course requirements for graduation in each degree program
  • Assist in organizing commencement exercises
  • Ensure students graduate in an effective manner
    oEnsure all coursework, credit requirements, and financial responsibilities are satisfied prior to release of SATC transcript or diploma
  • Request, collect and interpret transcript data for students seeking an AAS degree
    and/or transferring credits
  • Verify student attendance for secondary students, confirm student census day
    enrollment and attendance for secondary and post-secondary students.
  • Develop, review, and print all college and high school transcripts received and sent
  • Communicate with internal, external stakeholders and customers concerning but not
    limited to college policies, procedures, graduation requirements, course costs, and other
    relevant course information
  • Coordinate with business office to input tuition, fees, books, uniform, etc costs related
    to SATC courses in SIS
  • Maintain and collect FERPA confidentiality forms from all students, train faculty and
    staff yearly on FERPA compliance
  • Attend yearly conferences, webinars, and trainings to stay current on registrar duties
    (KBOR, KACRAO, Clearinghouse, etc.)
  • Work closely with faculty, administration, and staff; attend meetings and serve on
    committees
  • Support the vision, mission, and policies of Salina Area Technical College
  • Perform other duties as assigned
Physical Requirements:
  • Occasional physical exertion to manually lift, carry, push, pull or move objects or
    materials less than 50 pounds
  • Generally, involves 80% sitting, 10% walking and 10% standing, however some days
    may require much more walking and standing
  • Occasional stooping, bending, kneeling, and reaching
  • Requires acute hearing and speaking skills
  • Requires fine dexterity to type, enter data and provide written communications
  • Use of standard office equipment including computers and general office equipment
  • Work is performed in a busy and noisy environment
  • Requires prolonged sitting or standing
  • Requires traveling to various sites
  • May require evening and weekend work

Salary to commensurate with education and experience
