Job Description

Patient Services Call Center Representative Massachusetts Eye Associates is a mid-sized general ophthalmology and optometry practice with a long-standing history in the community. We have three conveniently located offices in Chelmsford, Tewksbury, and Lowell . We offer competitive compensation and benefits in a collaborative, team-oriented work environment. Position Summary The Patient Services Call Center Representative serves as a primary point of contact for patients and is responsible for providing professional, courteous, and efficient telephone and front-office support. Key responsibilities include answering telephone calls, registering patients, scheduling appointments, coordinating provider schedules, processing and scanning patient documents, and assisting patients with insurance and referral-related questions. Essential Responsibilities Register patients by accurately gathering, verifying, and entering demographic and insurance information. Schedule and verify patient appointments and assist with managing provider schedules. Review upcoming appointments to identify required referrals and obtain referrals for which the practice is responsible. Assist patients with obtaining referrals that are their responsibility. Respond to patient inquiries regarding accepted insurance plans, office hours, services, locations, examination fees, providers, and other routine questions. Answer telephone calls promptly, professionally, and courteously. Properly triage patient calls and direct questions or concerns to the appropriate staff member or provider. Perform general call center and patient service responsibilities. Maintain current reference information regarding insurance companies, coverage requirements, copays, referrals, and related procedures. Process, scan, and maintain patient documents in accordance with office procedures. Respond efficiently and accurately to routine requests for information. Maintain strict patient confidentiality at all times and communicate procedural changes or compliance concerns to the Compliance Officer. Participate in professional development activities to remain current with insurance requirements, regulations, and office procedures. Work collaboratively and communicate effectively with physicians, clinical staff, and other patient service team members. Assist other Patient Services staff as needed to support efficient office operations. Perform other duties and responsibilities as assigned by management. Duties may be added, modified, or eliminated at the discretion of management, either verbally or in writing. Minimum Education Requirements High school diploma or GED required. Strong spelling, alphabetization, and basic mathematical skills required. Minimum Experience Requirements At least three years of work experience required. Previous experience in a medical office setting preferred. Required Skills and Qualifications Strong attention to detail, accuracy, and thoroughness. Working knowledge of insurance, copay, and referral procedures. Excellent communication and interpersonal skills. Ability to work effectively as part of a team. Ability to manage multiple tasks and priorities in a fast-paced environment. Proficiency with fax and copier equipment, word-processing software, and general computer applications. Demonstrated reliability, professionalism, and strong work ethic. Ability to maintain patient confidentiality and exercise sound judgment when handling sensitive information. Physical and Job Requirements Ability to communicate effectively with patients, staff, and providers both in person and by telephone. Ability to accurately enter, process, and maintain information using appropriate computer systems. This is an in-person position and is not eligible for remote work .
