Family Service Association is seeking a compassionate and dependable Intake Coordinator to join our Kids Academy and After School Daycare programs. This is an excellent opportunity to make a meaningful impact while supporting children and families in accessing high-quality early education and care. This is a full-time (35 hours per week) position with a Monday-Friday, 9:30 a.m. - 5:50 p.m. schedule, with the occasional need to work evening or a weekend family events and enrollment activities . The starting pay is $20.00-$22.00 per hour , based on experience, education, certifications, and foreign language proficiency. As the Intake Coordinator, you will oversee the enrollment process and ensure compliance with state regulations while providing exceptional customer service to families.
Responsibilities include:
Responsible for all voucher management/subsidized care/fee-for-service related matters including but not limited to intakes, retention, reassessments, updating waiting lists, data input, maintaining information in the CCFA database, and completing necessary reports. Determine eligibility, fees, and slot type based on eligibility criteria. Determine availability of care based on licensed capacity, attendance, and transportation needs. Provide tours for potential children and families interested in the program. Schedule start dates with classroom Teachers, Administrative Assistant, and Program Director for census management. Maintain child files according to agency and EEC standard and regulation. Maintain child health information pertaining to allergies and communicate with the Health Care Consultant. Track reassessment dates and complete required documentation or initiate termination process in keeping with established EEC standards. Oversee ProCare Program, including posting fee receipts, collecting parent fees, and updating the parent fee ledger as needed. Ensure attendance grids and parent fees are accurate, collected, and transferred to accounting in a timely manner. Provide coverage in classrooms and front desk as needed. Participate in Agency functions and committees as well as program marketing and client recruitment as needed. Attend required meetings and professional development trainings as necessary to this position. Maintain regular communication with parents, staff, and agency.
Qualifications:
High school diploma or equivalent required. Previous EEC voucher experience preferred. Bilingual candidates are strongly encouraged to apply. Excellent organizational, communication, and customer service skills. Ability to manage multiple priorities while maintaining accuracy and confidentiality.
