Job Description
Front Desk and Intake CoordinatorOverview Brave Path Recovery is seeking a compassionate, organized, and dependable Front Desk and Intake Coordinator to serve as the welcoming first point of contact for individuals seeking support through our Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP). This role is essential to creating a safe, respectful, and supportive experience for clients, families, referral partners, and visitors. The Front Desk and Intake Coordinator will manage daily reception responsibilities, assist with the admissions and intake process, coordinate appointments, maintain accurate documentation, and support communication between clinical, medical, administrative, and case management staff. The ideal candidate is comfortable working in a fast-paced behavioral health environment and understands the importance of professionalism, confidentiality, empathy, and clear communication when supporting individuals affected by substance use and co-occurring mental health concerns. Responsibilities Welcome clients, families, visitors, and community partners in a warm, professional, and trauma-informed manner. Manage front desk operations, including answering and directing phone calls, responding to general inquiries, monitoring visitors, and maintaining an organized reception area. Respond to prospective client and referral calls with compassion, gather initial information, and connect individuals with the appropriate admissions or clinical team member. Support the PHP and IOP intake and admissions process, including scheduling assessments, collecting required documentation, assisting with forms, and entering client information into the electronic health record. Coordinate communication with referral sources, treatment providers, hospitals, recovery programs, and other community partners as directed. Assist with insurance verification, authorization tracking, and collection of demographic or eligibility information when applicable. Maintain accurate client schedules, attendance information, appointment calendars, and program records. Provide clients with clear information regarding program schedules, arrival procedures, required documentation, and general expectations. Protect client privacy and maintain confidentiality in accordance with HIPAA, organizational policy, and applicable state and federal regulations. Assist clients with paperwork and general questions while remaining within the boundaries of the administrative role. Support communication between clinical, medical, case management, and administrative departments to promote continuity of care. Complete clerical duties such as filing, scanning, uploading documents, proofreading, data entry, and updating client records. Monitor office supplies, maintain shared spaces, and assist with daily administrative operations. Support additional program and office needs as assigned. Qualifications Previous experience in a front desk, intake, admissions, healthcare, behavioral health, substance use treatment, or administrative role is strongly preferred. High school diploma or equivalent required; additional education or training in healthcare administration, behavioral health, human services, or a related field is preferred. Strong communication and customer service skills, with the ability to engage individuals who may be experiencing stress, uncertainty, or emotional distress. Ability to provide compassionate, respectful, and nonjudgmental support to individuals with substance use and co-occurring mental health needs. Strong organizational skills and the ability to manage multiple priorities in a fast-paced PHP and IOP environment. Proficiency with Microsoft Office, Google Workspace, electronic health records, scheduling systems, and general data entry. Knowledge of HIPAA, confidentiality standards, and professional boundaries is preferred. Experience with insurance verification, behavioral health authorizations, or admissions coordination is a plus. Strong attention to detail and the ability to maintain accurate and timely documentation. Ability to work collaboratively with clinical, medical, administrative, and case management teams. Bilingual skills are highly valued. Lived experience with recovery is welcomed but not required.
