We help our patients get to the root cause of their health concerns and our front desk team is essential in making that journey seamless, supportive, and exceptional. We are looking for a warm, hospitality-driven Front Desk Coordinator who thrives in a fast-paced environment and loves making people feel genuinely cared for. About Minneapolis Integrative Medicine Center At Minneapolis Integrative Medicine Center we take a different approach to patient care, integrating wellness, nutrition and prevention into everyday clinical practice. We use in-depth testing including microbiome, genomics, and hormone testing routinely, and we prioritize longer appointment times with patients so you are able to spend meaningful time with your patients becoming their partner in health. Description About the Role Minneapolis Integrative Medicine Center is looking for a warm, highly organized, and adaptable Patient Experience Receptionist to join our growing team. This is a dynamic, multi-faceted role that goes beyond traditional front-desk responsibilities. You will be one of the primary points of contact for our patients and will play an important role in creating a seamless, elevated experience from the moment a patient reaches out to us through the completion of their visit. You'll manage phones, scheduling, patient communications, check-in/check-out, payments, administrative workflows, and day-to-day clinic needs. You'll also become knowledgeable about our services, programs, pricing, and patient journey so you can confidently help patients navigate their experience with MIMC. There is a meaningful learning curve to this position. We are a small, growing organization with multiple systems, services, and workflows, so we're looking for someone who is curious, resourceful, highly organized, comfortable learning new things, and willing to take ownership. Schedule This is a full-time, Monday-Friday position with typical hours of 7:45 AM-5:00 PM , including a 1-hour lunch. There may be some flexibility in the schedule based on business needs. We are targeting a December 2026 start date and will work with the right candidate to determine the best transition timeline. Key Responsibilities Patient Hospitality & Experience Be the reason patients feel welcomed, cared for, and confident in their experience from the moment they walk through the door. Greet every patient warmly, establish rapport, and use their preferred name. Maintain a clean, calm, organized, and inviting lobby experience. Offer thoughtful, anticipatory hospitality such as tea, water, and assistance before patients need to ask. Support patients in navigating their care journey, including scheduling options, pricing, memberships, and lab logistics. Help patients understand next steps and connect them with the appropriate team member when clinical questions arise. Escort or guide patients as needed throughout their visit. Respond to patient concerns with empathy, professionalism, and a solutions-focused mindset. Scheduling & Visit Coordination Actively manage the clinic schedule to optimize patient access, provider availability, and clinic flow. Schedule new and established patients accurately based on visit type, provider, duration, and patient needs. Monitor schedule openings and proactively conduct outreach to fill available appointments. Help ensure patients understand what to expect before their appointments and what is needed to prepare. Patient Communication Promptly and professionally manage incoming phone calls, emails, and patient portal communications. Serve as a knowledgeable and welcoming first point of contact for patients and prospective patients. Answer questions within the scope of the role and route clinical questions to the appropriate provider or team member. Triage messages appropriately based on urgency, scope, and role responsibilities. Follow established communication standards while maintaining warmth, discretion, and professionalism. Administrative & Financial Operations Support patients through check-in and check-out. Process payments accurately and professionally. Verify payment methods and assist with transaction reconciliation. Scan and organize documents and request outside medical records as needed. Complete administrative tasks within the EHR and other clinic systems. Support retail operations by receiving, entering, organizing, and maintaining supplement inventory. Merchandise retail displays according to MIMC brand standards and maintain a clean, organized presentation. Support other administrative and operational priorities as assigned by clinic leadership. Learning, Ownership & Continuous Improvement Learn and confidently navigate multiple systems, including our EHR, scheduling platform, payment systems, and other technology used throughout the patient journey. Become knowledgeable about MIMC's services, programs, policies, pricing, and workflows. Identify gaps, inconsistencies, or opportunities for improvement and bring potential solutions forward. Adapt to changing priorities and support the team wherever needed in a small, growing organization. Ask thoughtful questions, seek clarification when needed, and become increasingly independent as you gain experience. Contribute ideas that improve the patient experience, team efficiency, and day-to-day operations. What You Bring Experience in a medical, hospitality, wellness, customer experience, or other service-oriented environment. Experience in a cash-pay medical practice or knowledge of integrative/functional medicine is a plus, but not required. A genuine desire to help others and build trust through exceptional service and hospitality. Strong learning agility and the ability to quickly become comfortable with new systems, processes, and information. Strong technology skills and confidence learning new software platforms. Excellent written and verbal communication skills. Exceptional attention to detail and follow-through. Ability to multitask while maintaining accuracy, organization, and a calm, positive demeanor. Strong ownership mindset — you see what needs to be done and take initiative. Comfort working in an environment where priorities may shift and responsibilities can evolve. Physical & Work Environment Requirements Ability to lift up to 30 lbs. occasionally. Ability to work in a fast-paced environment where priorities may shift quickly.
