South Central OB/GYN Clinics Full Time/PRN:
Full Time, Mon-Fri 8a-5p Job Summary The Patient Experience Specialist is responsible for providing exceptional customer service through accurate patient registration and front-desk operations across all South Central OB/GYN clinic locations. This includes obtaining necessary documentation, verifying insurance, collecting payments, and maintaining accurate patient records. This role requires consistent interaction with patients, families, and the public, both in person and by phone. While the employee will be assigned a primary work location, coverage at other South Central OB/GYN clinics will be required based on operational needs and at the discretion of the Clinic Manager. Minimum Qualifications Ability to read, write, and follow verbal and written instructions. Basic computer proficiency required. Excellent communication and interpersonal skills. Strong organizational skills and attention to detail. Preferred Qualifications Previous medical office, clinic, or patient registration experience preferred. Experience with Epic or other electronic health record systems preferred. Customer service experience in a healthcare setting preferred. Essential Duties & Responsibilities Accurately schedule appointments in person and by phone in accordance with facility policies. Register and check-in/check-out patients in a timely and professional manner. Verify and update patient demographics in Epic. Verify insurance coverage and obtain copies of current insurance cards. Collect photo identification to confirm patient identity. Collect co-pays, OB deposits, surgical deposits, and bad debt balances. Post charges and payments accurately to the appropriate accounts. Manage daily cash drawer and complete daily balancing reports. Answer incoming phone calls promptly and courteously. Make courtesy appointment reminder calls to patients. Obtain all necessary patient forms and documentation. Scan incoming medical records and signed forms into the appropriate patient chart. Fax medical records as needed. Maintain an organized work environment and prioritize tasks to avoid delays or backlog. Collaborate positively with team members to support a strong team dynamic. Maintain strict patient confidentiality in accordance with HIPAA guidelines. Adhere to all facility policies and procedures as outlined in the Employee Handbook. Perform other duties as assigned; management retains the right to add or modify responsibilities at any time. Physical Requirements Ability to sit, stand, walk, and move throughout the clinic as needed. Ability to communicate effectively in person and by telephone. Ability to use computers, scanners, telephones, and other standard office equipment. Ability to read and interpret patient information, insurance documents, and clinic forms. Ability to maintain concentration while performing detailed registration and payment-processing tasks. Ability to manage multiple tasks in a fast-paced clinical environment. Ability to maintain patient confidentiality and professionalism at all times. All candidates must be able to perform the essential functions of this position.
