Medical Office Specialist — Front Desk (MA background a plus) Outpatient Mental Health Practice — Mooresville, NC (On-site) Full-Time | Monday-Friday, 8:00 AM-5:00 PM | Hourly, non-exempt
Pay:
$15.00- 20.

We are a small outpatient psychiatric practice looking for a dependable, organized, and compassionate person to run our front office. You will be the first voice and the first face patients encounter, and the main point of contact for patients and families, pharmacies, insurance companies, schools, and other healthcare organizations. This is a high-volume phone role, and it is more than a check-in desk. Alongside scheduling and reception, you will verify benefits, handle prior authorizations, and work claims and coverage issues directly with insurers. We pay above the typical front desk rate because the role carries that responsibility. The person who does well here can hold several threads at once, solve problems without being handed a script, and stay steady and kind when a caller is upset, anxious, or in distress. Because the team is small, you will have real ownership of how the front office runs and direct access to the provider. A Medical Assistant or CNA background is a plus, and there may be opportunities to cross-train on clinical support tasks over time. It is not required — the core of this role is the front office, and we are glad to hire the right person with no clinical background at all.WHAT YOU'LL DO
- Answer and manage a high volume of incoming calls.
- Schedule, reschedule, and cancel appointments; manage the provider calendar and waitlist.
- Check patients in and out; verify and update demographic and insurance information.
- Verify insurance eligibility and benefits; collect copays and outstanding balances.
- Communicate with insurance companies on coverage, claims, and prior authorizations.
- Document patient communications accurately and promptly in the EMR.
- Triage and route messages, refill requests, and urgent concerns to the provider.
- Support referrals, records requests, patient forms, scanning, and faxing.
- Troubleshoot day-to-day scheduling, insurance, EMR, and office technology issues.
- Protect patient confidentiality and follow HIPAA requirements at all times.
- Assist with other administrative duties as the practice needs them.
WHAT WE'RE LOOKING FOR
Required- High school diploma.
- Strong phone, computer, and customer-service skills.
- Excellent organization and attention to detail.
- Comfortable juggling multiple tasks and a heavy call volume.
- Dependable attendance and punctuality.
- Professional, compassionate communication. Preferred
- Experience in a medical or behavioral health office.
- Medical Assistant certification, CNA, or similar clinical training.
- EMR/EHR experience.
- Insurance verification, prior authorization, or medical billing experience.
- Working knowledge of
