Job Description

Administrative/Medical Records staff may function in a variety of roles as needed, including acting as front desk receptionist and point of first contact for prospective patients or performing other support roles to facilitate the smooth operation of daily services. Essential Duties and Responsibilities Answering phone calls and coordinating with other staff to address concerns. Addressing face to face consumer inquiries Facilitating intake process including review of intake documents. Copying of insurance card front/back and uploading documents into EHR. Coordinating check in and check out process. Verifying insurance eligibility through electronic systems. Verifying patient demographics and insurance for any changes. Update in electronic systems and uploading any new insurance cards into EHR. Checking patient accounts for any balances, collection of those balances or setting up payment arrangements. Notify billing of any changes, updates or arrangements made. Collection of copay and other fees will include contacting clients via phone to collect prior to appointment. Collection of copay and other fees and completion of daily summary of payments. Daily sheet and supporting documentation sent to billing for posting. Coordinating with billing on any collection concerns. Assist in coordinating records keeping including filing, data entry into electronic systems and other tasks necessary to ensure accurate record keeping. Monitoring treatment violations Conduct observed random urine drug screens (UDS) for clients and staff when lab collectors are unavailable, in accordance with program policy and procedures. Maintain cleanliness of the administrative area by cleaning the public restroom daily and removing trash daily. Other tasks as necessary to facilitate daily operations. Job Requirements Our ideal administrative/medical records candidate is an excellent communicator and listener with ability to function independently and as a member of a team. Additional Requirements Valid driver's license, auto insurance and reliable transportation Ability to pass a drug screen and background check Meet the physical requirements of performing CPR and performing other work duties Knowledge of the human services delivery system in North Carolina preferred Experience with Electronic Medical Records (EMR) preferred Preferred Skills also include Mathematical Skills
  • Ability to add, subtract, multiply and divide all units of measure using whole numbers, common fractions and decimals Reasoning Skills
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations Language Skills
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization Computer Skills

  • Must be able to operate a variety of automated office machines and other equipment (e.
g. computers, copier, heat sealer, wheel chairs, hand trucks). Must be able to exert up to seventy-five pounds of force occasionally and/or lift, carry, push, pull or otherwise move objects. Physical demands are in excess of sedentary work; position requires walking, standing, reaching, stooping, etc. Will lift no more than forty pounds independently
