Practice Administrator Job Summary:
The Appointment Scheduler is responsible for efficiently coordinating patient appointments, ensuring the optimal use of physician and clinical staff time, and providing excellent customer service in an Orthopaedic Spine Surgery and Pain Management practice. This role is key to creating a positive patient experience and maintaining a well-organized schedule that supports the smooth operation of the practice.
Key Responsibilities:
Patient Scheduling:
Schedule, reschedule, and confirm patient appointments for office visits, surgeries, diagnostic tests, and follow-ups. Coordinate scheduling to minimize patient wait times while maximizing physician and staff productivity. Communicate appointment details clearly to patients, providing necessary instructions for pre-appointment preparations.
Patient Communication:
Answer phone calls and manage patient inquiries regarding appointments, cancellations, or changes. Verify and update patient demographic and insurance information in the scheduling system. Provide reminders and ensure patients are informed of any preparation or documentation required for their appointment.
Documentation & System Management:
Accurately input patient information and appointment details into the electronic health record (EHR) and practice management systems. Ensure all relevant information, including patient history and required documents, is available for the physician prior to each appointment. Coordination with
Medical and Office Staff:
Collaborate with clinical and administrative staff to optimize the physician's schedule. Communicate with insurance coordinators to ensure proper pre-authorizations and insurance coverage are verified prior to appointments. Ensure that necessary diagnostic tests, medical records, and referral paperwork are completed in advance of patient visits.
Customer Service:
Greet patients in a professional and courteous manner over the phone. Address and resolve patient concerns or direct them to the appropriate department. Maintain patient confidentiality and adhere to HIPAA regulations at all times.
Qualifications:
High school diploma or equivalent required; associate's degree or medical office experience preferred.
Experience:
1-2 years of experience in medical office scheduling, preferably in an Orthopaedic, Pain Management, or similar specialty practice.
Technical Skills:
Proficiency in using electronic health record (EHR) and practice management software (experience with eClinicalWorks or similar systems is preferred). Strong understanding of medical terminology, especially relating to orthopaedics and pain management.
Customer Service:
Excellent communication skills with the ability to handle a high volume of patient interactions professionally and with empathy.
Organizational Skills:
Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Teamwork:
Ability to work collaboratively with clinical and administrative teams to ensure seamless patient care.
Working Conditions:
Full-time position, Monday through Friday. Primarily office-based in Morristown, NJ, May require occasional overtime to accommodate patient scheduling needs.
