Contract, License and Registration Coordinator Northwestern Mutual - 3.7 Princeton, NJ Job Details Full-time $50,000 - $55,000 a year 12 hours ago Benefits Health insurance 401(k) Paid time off Qualifications Teamwork HR communication Human resources Performing background checks Full Job Description Role Summary With direction from the Contracting, Licensing and Registration Manager, the Coordinator is responsible for coordinating and administering all contracting, licensing, registration, onboarding, credentialing, and compliance-related activities for financial representatives, associate financial representatives, interns, field staff, and special contract programs within the Northwestern Mutual Ruhl Agency. This role serves as one of the primary liaisons between Network, District, and Home Office stakeholders, ensuring accurate recordkeeping, regulatory compliance, timely onboarding, and efficient execution of all licensing and registration requirements. The Coordinator works closely with leadership teams, recruiting, supervision, accounting, technology, and training departments while maintaining the highest level of confidentiality and professionalism. Contracting, Licensing & Registration Administration Administer, process, track, and follow up on all contracting, licensing, registration, credentialing, contract change, and termination requirements using Home Office systems. Manage onboarding requirements for new financial representatives, associate financial representatives, interns, field staff, Entity Advisors, SkillBridge participants, Flex Contracts, and other special contract programs. Coordinate resident and non-resident licensing, license transfers, renewals, expirations, continuing education, annuity, long-term care, and investment licensing requirements. Manage the NMIS registration process and investment exam preparation activities including SIE, Series 6, Series 7, and Series 63-related requirements. Ensure all required forms, signatures, reporting relationships, compensation amendments, and documentation are completed accurately and submitted on time. Maintain accurate records for new contracts, contract amendments, personnel changes, and terminations. Onboarding & Candidate Support Own and coordinate the onboarding process for newly hired financial representatives, interns, associate financial representatives, and staff members. Conduct onboarding meetings and periodic progress check-ins with candidates throughout the contracting and licensing process. Provide guidance on licensing requirements, study materials, pre-licensing courses, exam scheduling, required Northwestern Mutual coursework, and reimbursement processes. Create, communicate, and monitor onboarding timelines and deadlines. Provide best practices, training resources, and support to enhance onboarding success and licensing completion rates. Compliance, Credentialing & Background Screening Coordinate background investigations, fingerprinting, inspection reports, and credentialing activities. Serve as liaison with background investigation vendors and escalate findings to agency leadership when appropriate. Monitor compliance with corporate, regulatory, recruiting, and onboarding policies and procedures. Maintain confidentiality of sensitive personnel, licensing, and business information. Communication & Stakeholder Coordination Act as the liaison between the Network Office, District Offices, Home Office, and external partners throughout the contracting, licensing, and registration processes. Facilitate communication and collaboration among Accounting, Technology, Supervision, Recruiting, Training, and Leadership teams. Coordinate with accounting and other business partners regarding LLCs, business entities, and financial matters related to contracting and licensing. Provide regular updates to leadership regarding candidate progress, licensing status, onboarding milestones, and operational priorities. Reporting, Process Improvement & Operational Support Maintain and update contracting and licensing pipelines, status reports, and operational tracking tools. Analyze reports and trends to identify opportunities for process improvement and increased efficiency. Recommend and support enhancements to contracting, licensing, registration, and onboarding processes. Stay current on Northwestern Mutual systems, forms, processes, and regulatory requirements. Support special projects and other contracting, licensing, registration, and onboarding initiatives as assigned. Leadership & Team Development Provide cross-training, knowledge sharing, and backup support for contracting, licensing, and registration functions. Assist in training and mentoring interns or support staff assigned to CLR functions. Promote process consistency, accuracy, and service excellence across all offices and teams.
