Job Description
We are looking for a dependable Patient Services Rep to be the first point of contact for our patients. In this role, you'll manage check-in, insurance verification, scheduling, and payment collection across Neurology and Pain Management, helping every patient have a smooth, professional visit from start to finish. Position Summary The Patient Services Rep manages patient registration, scheduling, and administrative support from check-in through checkout. This role verifies insurance eligibility, collects patient payments, maintains accurate records in our EHR system, and helps keep the Front Desk and waiting area clean, organized, and welcoming. Front Desk staff work as one team, sharing coverage and following standardized workflows across all providers and departments. Requirements High School Diploma or equivalent required. Prior front-desk, medical office, or customer-service experience preferred. Comfortable using electronic health records and other office systems, with the ability to learn new workflows and technology. Strong communication and customer-service skills, with a professional, welcoming demeanor. Highly organized and detail-oriented, with the ability to prioritize in a fast-paced environment. Working knowledge of insurance verification, scheduling, and payment-collection processes preferred. Essential Functions Greets and checks in patients, verifying identity and demographic accuracy at every visit. Verifies insurance eligibility for all scheduled patients and prepares the next day's schedule in advance. Requests, scans, and labels a current insurance card at every visit. Reviews and collects applicable patient payments (copays, coinsurance, deductibles) and accurately posts payment. Schedules, reschedules, and cancels appointments according to established provider and scheduling rules. Answers phones professionally, documents patient requests, and routes messages to the appropriate team member. Documents accurately in the EHR and maintains up-to-date, error-free patient charts. Scans and routes incoming paperwork, referrals, and other documentation daily. Completes patient checkout, confirming next steps and scheduling follow-up appointments as needed. Maintains a clean, organized, and secure Front Desk and waiting area throughout the day. Escalates unresolved insurance, payment, or scheduling issues according to practice workflow. Protects patient confidentiality and PHI throughout all Front Desk workflows. Additional Responsibilities Completes opening tasks (system login, schedule review) and closing tasks (payment reconciliation, securing PHI, waiting-room reset) each shift. Provides cross-coverage and support to other Front Desk team members and departments as needed. Prioritizes daily workload — patients present, payments, scheduling, calls, and next-day prep — and communicates any unresolved work at shift end. Supports Front Desk operations consistently across Neurology, Pain Management, and all providers. Participates in training and team meetings, upholding professionalism and practice standards. Pay:
