POSITION SUMMARY
━━━━━━━━━━━━━━━━━━━━━━━━━━━━ We are looking for a motivated, organized, and self-driven Office Staff/Intake Coordinator to support our day-to-day operations. This role is critical to growing our client base and keeping the agency running smoothly. Job Overview We are seeking a dynamic and detail-oriented Office Staff / Intake Coordinator to join our healthcare team. This vital role involves managing patient intake processes, coordinating appointments, and providing exceptional administrative support within a busy medical office environment. The ideal candidate is proactive, organized, and has excellent communication skills to support smooth clinic operations and outstanding patient service. This position offers an exciting opportunity to contribute to quality healthcare delivery while developing your expertise in medical administration and health information management. Responsibilities Greet patients and visitors warmly, ensuring a positive first impression while efficiently managing check-in and check-out procedures. Collect, verify, and document patient information accurately using Electronic Health Record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Schedule appointments for various clinical services, coordinating with healthcare providers to optimize clinic flow. Review and update medical records in compliance with HIPAA regulations and clinic policies, ensuring confidentiality at all times. Assist with insurance verification, including understanding health insurance policies such as Medicare, Medicaid, and private plans; facilitate billing processes when necessary. Manage phone communication with patients and providers using professional phone etiquette; handle inquiries related to appointments, billing, or medical records. Support clinical staff by maintaining organized filing systems, performing data entry tasks like CPT coding and
ICD-10/ICD-9
coding for documentation review and billing purposes. Utilize computer skills across Microsoft Office applications and EMR/EHR platforms to ensure accurate documentation and efficient office operations. Maintain a clean, organized front desk area while adhering to clinical confidentiality policies and health information management standards. Conduct client searches and manage the full intake process for new clients Search, identify, and apply for DODD (Department of Developmental Disabilities) clients across all Ohio counties Attend client interviews and assessments in multiple counties as needed Perform general administrative duties including filing, data entry, phone calls, and correspondence Assist with scheduling, documentation, and compliance paperwork Coordinate with case managers, referral sources, and community partners Cover client shifts on occasion when caregivers call off Support agency growth initiatives and special projects as assigned Qualifications Proven experience in medical office administration or clerical support within a healthcare setting; clinic or dental clinic experience is highly desirable. Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential. Understanding of medical terminology, CPT coding, ICD coding (ICD-10/ICD-9), and medical billing procedures. Knowledge of health insurance processes including Medicare and Medicaid requirements. Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus. Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills including 10-key typing for data entry accuracy. Ability to handle sensitive information with discretion while maintaining compliance with HIPAA regulations. Strong organizational skills with the ability to multitask in a fast-paced environment; experience with medical scheduling is preferred. Prior office experience in a healthcare setting involving medical records management and administrative support is required.
