Position Overview The Front Office Coordinator is responsible for the daily administrative operations of the clinic and serves as the primary point of contact for front office activities. This individual oversees patient scheduling, registration, electronic health records, communication with patients and providers, basic social media support, and selected clinic resource-stocking duties to ensure an efficient, welcoming, and compassionate experience. The Front Office Coordinator also serves as the primary day-to-day contact for clinic volunteers by coordinating schedules, communicating staffing needs, and assisting with orientation and training related to front office procedures. The Front Office Coordinator works collaboratively with clinic leadership to support operational excellence and advance the clinic's mission.
What You'll Do:
Patient Access & Front Office
- Answer telephone calls, respond to voicemail, and assist patients and visitors.
- Schedule and reschedule new and established patient appointments.
- Coordinate new-patient intake and registration.
- Help ensure patient demographic, eligibility, and other required information is complete and accurate.
- Coordinate patient check-in and check-out.
- Maintain an organized, welcoming, and professional reception area.
- Help coordinate and support volunteers working at the front desk.
- Provide patients with clear information about HPFC services and how to access care. Patient & Administrative Workflow
- Monitor assigned Athena electronic health record work queues and tasks each business day.
- Complete routine patient-access tasks and route other items to the appropriate staff member or provider.
- Keep track of outstanding items and follow up to help ensure they are completed.
- Assist with routine administrative follow-up on outstanding orders.
- Help make sure patient calls, messages, requests, and other administrative needs don't get lost in the shuffle. Medical Records
- Coordinate routine incoming and outgoing medical-record requests.
- Assist patients who are transferring records to another healthcare provider.
- Process authorized requests from healthcare providers, disability-determination agencies, and other appropriate organizations.
- Protect patient confidentiality and follow HIPAA and HPFC privacy requirements.
Patient Service Many of the people who come to HPFC are navigating significant healthcare, financial, or social challenges. The Patient Access / Front Office Coordinator is often one of the first people they encounter. - High school diploma or equivalent required.
- Experience in healthcare, a medical office, patient access, customer service, social services, or a related setting preferred.
- Experience with electronic health records is preferred but not required. Athena experience is a plus.
- Strong computer, written communication, and verbal communication skills.
- Demonstrated reliability, organization, and attention to detail. Compensation and Benefits
- $20-$25 per hour, depending on qualifications and experience.
