Clinical Intake Coordinator (Part-Time, Hybrid)

Part-Time, 10 hours per week Position Overview Urban Light Wellness Center is seeking a dependable and organized Clinical Intake Coordinator to manage the intake and onboarding process for new clients. This position plays an important role in ensuring clients are contacted promptly, scheduled efficiently, and fully prepared for their first appointment. This is a part-time position limited to 10 hours per week . The selected candidate must maintain a consistent weekly schedule of Monday through Friday , working either: 8:00 AM

• 10:00 AM , or 5:00 PM
• 7:00 PM (or 6:00 PM
• 8:00 PM ) Primary Responsibilities Return calls and respond to new client inquiries.

Enter new client information into the electronic health record (EHR). Schedule intake appointments same day and assign clients to appropriate clinicians. Coordinate with clinicians to ensure intake appointments are confirmed and completed. Verify insurance eligibility through payer websites when appropriate. Set up client portal access and ensure all required intake documentation is sent. Ensure minors and guardians receive all required forms and consent paperwork. Maintain accurate and timely documentation throughout the intake process. Communicate professionally with clients, clinicians, and administrative staff. Assist with occasional administrative tasks related to client onboarding. Qualifications High school diploma or equivalent required. Excellent communication, organizational, and customer service skills. Strong attention to detail and ability to manage multiple tasks. Ability to maintain confidentiality and professionalism at all times. Reliable, self-motivated, and able to work independently. Remote Work Requirements Private, quiet workspace free from distractions. Reliable high-speed internet. Personal laptop or computer suitable for remote work. Additional Requirements This is a hybrid position . While the role is primarily remote, the employee must be available to report to our Windsor Locks, Connecticut office during scheduled work hours if business needs require in-office support. Professional Expectations The Clinical Intake Coordinator is expected to: Log in and begin work on time for every scheduled shift. Maintain consistent attendance and reliability. Communicate professionally with clients and staff. Complete assigned work within scheduled hours. Protect client confidentiality and comply with all HIPAA and organizational policies. This position is limited to 10 hours per week and is intended for individuals seeking a consistent, part-time opportunity with a structured schedule.
