$120,000-$160,000 About Palo Alto University Palo Alto University (PAU) is a private, nonprofit university dedicated to advancing human understanding through innovative education, research, and practice in behavioral science. Located in the heart of Silicon Valley, PAU offers graduate and undergraduate programs in psychology, counseling, social work, and behavioral science, including the PAU-Stanford PsyD Consortium with Stanford Medicine. The Opportunity PAU is seeking an experienced University Registrar to lead the Office of the Registrar and serve as the institutional steward of academic records, registration, degree certification, academic scheduling, and enrollment compliance. Reporting to the Vice President of Enrollment Management, the University Registrar will combine operational precision with strategic leadership. This role also serves as PAU's Principal Designated School Official (PDSO), oversees key compliance functions affecting international and military-connected students, and partners closely with Academic Affairs, Financial Aid, Admissions, Student Experience, Information Technology, and institutional leadership. Key Responsibilities Provide leadership and oversight for student records, registration, enrollment verification, transcript production, degree certification, academic standing, and graduation audits. Ensure the accuracy, security, confidentiality, and integrity of academic records in compliance with FERPA, institutional policy, and accreditation standards. Coordinate academic scheduling and course management with the Provost's Office and academic programs, including ERP accuracy, room assignments, catalog support, and schedule optimization. Serve as the university's Principal Designated School Official (PDSO), overseeing the F-1 student program, SEVIS activity, Form I-17 information, DSO coordination, and compliance with SEVP and federal requirements. Oversee or coordinate VA educational benefits certification and required reporting for veteran and military-connected students. Lead state authorization administration, including monitoring state requirements, distance education authorization, clinical licensure implications, and institutional disclosures. Ensure registrar functions comply with applicable federal and state requirements, Title IV-related processes, and accreditation expectations, including WSCUC, APA, CACREP, and CSWE requirements relevant to student records and academic programs. Maintain accurate records for consortium and cross-enrollment agreements, including the PAU-Stanford PsyD Consortium, and support specialized academic and clinical training documentation as required. Lead the strategic use of student information, degree audit, and registrar technology to improve accuracy, efficiency, reporting, and data integrity. Develop and maintain effective policies, procedures, workflows, training resources, and audit practices that support consistency and continuous improvement. Build and lead a high-performing registrar team with clear expectations for accuracy, accountability, service, professional growth, and collaboration. Serve as an institutional expert on academic records, registrar policy, and enrollment compliance, advising university leadership and supporting accreditation reviews, audits, and regulatory inquiries. Required Qualifications Bachelor's degree required; master's degree preferred. Seven or more years of progressive experience in registrar operations, enrollment management, or academic records administration, including at least three years in a supervisory or leadership role. Demonstrated expertise in student records management, academic scheduling, degree certification, and FERPA compliance. Experience serving as a DSO or PDSO, with working knowledge of
SEVIS, F-1
student regulations, and SEVP compliance requirements. Experience with VA educational benefits certification and compliance reporting. Knowledge of state authorization requirements, including distance education and clinical licensure considerations. Strong command of student information systems, degree audit platforms, and registrar technology. Excellent written, verbal, analytical, and interpersonal skills, with the ability to navigate complex regulatory and policy matters with clarity and sound judgment. Demonstrated commitment to student-centered service, confidentiality, equity, and belonging. Ability to work regularly and consistently on campus. Preferred Qualifications Experience in a graduate or professional school environment, particularly psychology, counseling, social work, behavioral science, or another clinical field. Hands-on experience with Jenzabar or comparable student information and degree audit systems. Experience with multi-state authorization or clinical licensure compliance. Experience with consortium or cross-enrollment agreements and institutional accreditation reviews. Experience supporting clinical training documentation for APA- or CACREP-accredited programs. Active involvement in AACRAO or another relevant professional organization. Who We Are Looking For We are looking for a registrar leader who is precise, analytical, collaborative, and comfortable managing complex regulatory and operational responsibilities. The successful candidate will value the integrity of student records, understand the connection between academic policy and enrollment operations, build strong cross-functional partnerships, and lead with sound judgment, accountability, and a student-centered approach. Work Location This is a full-time, in-person leadership position based at PAU's Palo Alto and Mountain View, California campuses. Regular on-campus presence is essential. Occasional evening and weekend availability may be required during peak registration, graduation, and compliance reporting periods. This position is not eligible for a remote work arrangement. Compensation The salary range for this position is $120,000-$160,000 annually, commensurate with qualifications and experience.
