Summit Counseling Solutions Provo, UT Part-Time | Approximately 20 hours per week
Compensation:
DOE Join Our Growing Team Summit Counseling Solutions is growing, and we are expanding our administrative team to support the continued growth of our programs and services. We are excited to add dedicated support in two key areas of our operations: Admissions and Billing . These expanded opportunities are designed to strengthen our processes, improve the experience of the families we serve, and support the continued growth of Summit Counseling Solutions. We are currently seeking a part-time Admissions Coordinator to join our team. For the right candidate, there may also be an opportunity to combine admissions and billing responsibilities into a full-time position. About Summit Counseling Solutions Summit Counseling Solutions provides behavioral health services to adolescents ages 12-18 through PHP and IOP levels of care. Our team is committed to creating a supportive, structured, and client-centered environment for adolescents and their families. The Admissions Coordinator plays an important role in helping families navigate the process of accessing care and ensuring that clients have a smooth transition into treatment. About the Role The Admissions Coordinator serves as a primary point of contact for prospective clients, families, referral partners, and community providers throughout the admissions process. This position coordinates referrals, inquiries, intake requirements, insurance information, admissions communication, and client transitions while working closely with clinical, programming, and leadership teams. The ideal candidate is organized, compassionate, responsive, and highly detail-oriented . You should be comfortable communicating with families during what can be a stressful time, managing multiple priorities, and ensuring that important details do not fall through the cracks. What You'll Do Admissions & Intake Coordination Serve as a primary point of contact for prospective clients, families, referral partners, and community providers throughout the admissions process. Manage referrals, inquiries, and admissions from initial contact through admission or referral to a more appropriate level of care. Coordinate intake requirements and ensure required documentation, assessments, insurance information, and admission materials are completed accurately and on time. Maintain timely and professional communication with prospective clients, families, referral sources, and internal teams regarding admission status and next steps. Help families understand the admissions process and what to expect when beginning treatment. Verify insurance benefits and communicate relevant coverage information and estimated financial responsibility to families. Coordinate admissions logistics with clinical and programming staff to facilitate timely placement. Ensure admissions information is accurately documented and communicated to appropriate team members. Client Transition & Discharge Coordination Coordinate client transitions into treatment, between levels of care, and at discharge. Facilitate communication between clients, families, referral partners, and internal departments to support smooth transitions. Coordinate discharge documentation, exit processes, and related communication. Maintain accurate admission, census, transition, and discharge records. Follow up on outstanding admissions-related documentation and information. Referral & Community Relations Develop and maintain positive relationships with referral partners, healthcare providers, schools, and community organizations. Provide timely and professional communication to referral sources throughout the admissions process. Support facility tours and provide information regarding Summit Counseling Solutions' programs and levels of care. Track referral activity and census trends. Communicate relevant referral and admissions information to leadership and internal teams. Administrative & Compliance Support Maintain confidentiality and HIPAA compliance when handling client information and communications. Ensure admissions and client records are accurate, complete, and maintained according to organizational and regulatory requirements. Support licensing reviews and audits by maintaining required admissions documentation. Collaborate with clinical, programming, and leadership teams to improve admissions workflows and the overall client experience. Attend meetings as assigned. Perform other duties as assigned. Service-oriented and committed to creating a positive experience for clients and families. Comfortable developing and maintaining organized systems and processes. Able to work independently while also collaborating effectively with a team. Preferred Qualifications Experience in healthcare, behavioral health, mental health, admissions, intake, case coordination, customer service, or a related field. Experience communicating with families, healthcare providers, schools, or referral organizations. Experience working with insurance benefits or healthcare administrative processes. Experience working with an EHR or other healthcare information system. Bachelor's degree in healthcare administration, business, psychology, social services, or a related field. Minimum Requirements Strong organizational and communication skills. Ability to maintain strict confidentiality and comply with HIPAA requirements. Ability to pass a background check/clearance. Must be at least 21 years of age. Schedule This is a part-time position, approximately 20 hours per week . The specific schedule will be determined based on organizational needs and candidate availability.
