Overview We're looking for a compassionate, organized Admissions Counselor/Intake Specialist to serve as the first point of clinical contact for individuals seeking treatment. This role is critical to our mission you'll be the person who greets someone at what is often one of the most vulnerable moments of their life, guiding them through the intake process with warmth, professionalism, and urgency. The ideal candidate is a strong communicator who can balance empathy with efficiency, ensuring clients get connected to the right level of care quickly. Responsibilities Respond promptly to inquiries from prospective clients, families, and referral sources via phone, email, or in person Conduct initial screenings and assessments to determine appropriate level of care and program fit Verify insurance benefits and eligibility, and communicate coverage details to clients and families Guide clients and families through the admissions process, answering questions and addressing concerns with empathy Coordinate with clinical and administrative teams to schedule intake appointments and ensure a smooth transition into care Maintain accurate, timely, and confidential documentation of all admissions activity Build and maintain relationships with referral sources (hospitals, treatment centers, community organizations) to support a steady admissions pipeline Follow up with prospective clients who haven't yet admitted, providing support and information as needed Ensure all admissions practices comply with
HIPAA, 42 CFR
Part 2, and other applicable regulations Qualifications Prior experience in admissions, intake, or a related role within behavioral health, SUD treatment, or healthcare strongly preferred Strong understanding of client confidentiality requirements (HIPAA, 42 CFR Part 2) Excellent verbal and written communication skills Warm, empathetic demeanor with the ability to build trust quickly with clients in crisis or distress Strong organizational skills and ability to manage multiple inquiries simultaneously Comfortable with fast-paced, high-urgency work Experience with insurance verification a plus Experience with EHR/scheduling systems a plus What We Offer Competitive pay based on experience The opportunity to be someone's first step toward recovery A collaborative, mission-driven team environment
