Position Summary The Front Desk Ambassador / Admissions Coordinator serves as the first point of contact for prospective students, current students, families, visitors, clinical partners, and community partners at Ultimate Health Institute (UHI). This position plays an essential role in creating a welcoming, professional, and student-centered campus experience while providing administrative and admissions support. The ideal candidate is personable, organized, energetic, dependable, and comfortable working in a fast-paced healthcare education environment. This individual should have excellent communication skills, strong attention to detail, a positive attitude, and the ability to confidently represent UHI and its nursing education programs. The Front Desk Ambassador / Admissions Coordinator will support daily front desk operations, prospective student engagement, appointment scheduling, admissions activities, document collection, campus tours, student events, and communication with students and staff. Key Responsibilities Front Desk & Campus Experience Serve as the welcoming face of UHI and provide a professional, positive first impression to everyone entering the campus. Greet and assist prospective students, current students, families, faculty, staff, visitors, and community partners. Answer and appropriately route incoming calls, emails, and general inquiries. Respond to basic questions regarding UHI programs, admissions processes, campus services, and next steps. Coordinate and assist with campus tours and prospective student visits. Maintain a professional, organized, and welcoming reception area and common spaces.. Help ensure the campus consistently presents a clean, organized, professional, and student-ready environment by identifying and addressing routine appearance or facility concerns and communicating maintenance needs to the appropriate staff. Monitor the front desk and campus environment to ensure students and visitors receive a positive experience. Manage front desk responsibilities including mail, copying, scanning, filing, and other administrative tasks. Admissions Support Schedule appointments for Admissions Advisors and other appropriate campus staff. Contact prospective students to confirm appointments and encourage attendance. Follow up with prospective students following campus visits, inquiries, and admissions events. Assist with lead assignment, tracking, and updates within the CRM and other institutional systems. Maintain accurate and timely records of prospective students and applicants. Assist applicants with understanding the admissions process and completing required next steps. Collect, organize, and monitor admissions documentation in accordance with UHI policies and procedures. Monitor outstanding documents and communicate required next steps to applicants. Support application days, information sessions, orientations, and other enrollment activities. Conduct or assist with campus tours and provide basic information about UHI programs, admission requirements, schedules, and the student experience. Escalate complex admissions questions and qualified prospects to the appropriate Admissions Advisor or department. Student Engagement & Recruitment Create positive relationships with prospective and current students through professional, approachable, and supportive communication. Identify opportunities to engage prospective students while they are on campus. Encourage prospective students to connect with Admissions Advisors and appropriate campus resources. Support outbound communication to prospective students through phone, email, or text when assigned. Assist with activities designed to improve lead-to-appointment, appointment-to-application, and appointment-to-enrollment outcomes. Support student orientations, graduations, open houses, community events, and other campus activities. Help create a campus atmosphere where students feel welcomed, respected, and comfortable asking questions or seeking assistance. Administrative & Compliance Support Maintain accurate records in the CRM, student information systems, and other institutional platforms. Assist with reports, appointment tracking, admissions activity, and other administrative reporting. Prepare materials for interviews, information sessions, orientations, events, and enrollment activities. Assist with maintaining organized student and admissions files. Protect confidential student and applicant information and maintain FERPA compliance. Follow UHI policies, procedures, accreditation requirements, and applicable regulatory standards. Communicate effectively with Admissions, Academics, Student Services, Compliance, Financial Aid, and other campus departments. Identify administrative or student-service issues and communicate them to the appropriate supervisor. Perform other duties as assigned Qualifications Required High school diploma or equivalent. 1-2 years of experience in customer service, admissions, sales, administrative support, healthcare, education, hospitality, or a related field. Strong verbal and written communication skills. Professional, welcoming, and student-focused demeanor. Excellent organizational and multitasking skills. Strong attention to detail and follow-through. Comfortable communicating with prospective and current students in person, by phone, email, and text. Basic computer proficiency and ability to learn new software and systems quickly. Ability to maintain confidentiality and exercise sound judgment when handling student information. Ability to work effectively in a fast-paced, team-oriented environment. Preferred Some college or post-secondary education. Associate or bachelor's degree preferred. Experience in higher education, career education, nursing education, healthcare, or admissions. Experience working in a student enrollment or recruitment environment. Experience with CRM or student information systems. Experience working in a healthcare education setting. Bilingual English/Spanish skills are a plus. Pay:
$22.00 - $25.00 per hour Expected hours: 40.0 per week
