Job Description

We are seeking a compassionate, organized, and detail-oriented Intake Coordinator to join our substance use treatment team. The Intake Coordinator serves as a key point of contact for individuals and families seeking treatment, helping guide prospective clients through the admissions process while providing a welcoming, professional, and supportive experience. Position Overview The Intake Coordinator is responsible for coordinating the initial intake and admissions process, gathering necessary information, communicating with referral sources, and working closely with clinical and administrative staff to help ensure a smooth transition into treatment. Key Responsibilities Serve as a professional and compassionate first point of contact for prospective clients, families, and referral sources Respond promptly to inquiries regarding treatment services, availability, and the admissions process Complete initial screening and intake documentation according to facility policies and procedures Gather demographic, insurance, medical, behavioral health, and substance use information as required Coordinate assessments and admissions with clinical and medical staff Verify insurance benefits and communicate coverage information to clients and appropriate staff [if applicable] Coordinate admission dates, appointments, transportation, and other logistics as needed Maintain accurate and timely records in the electronic health record and other required systems Communicate effectively with referral partners, hospitals, treatment providers, and other community resources Follow up with prospective clients who have not yet entered treatment Assist clients and families in understanding program expectations, policies, and next steps Coordinate with case management, clinical, medical, and administrative teams to ensure continuity throughout the admissions process Maintain confidentiality and comply with HIPAA and applicable regulations Handle sensitive situations with professionalism, empathy, and sound judgment Qualifications Experience in substance use treatment, behavioral health, healthcare, admissions, intake, or a related field preferred Strong customer service and communication skills Excellent organization, attention to detail, and follow-through Ability to remain calm and professional in a fast-paced environment Comfortable communicating with individuals and families experiencing crisis or significant life challenges Knowledge of substance use disorders and behavioral health services preferred Experience with electronic health records preferred Familiarity with insurance verification and behavioral health benefits is a plus High school diploma/GED required; associate or bachelor's degree in human services, healthcare, business, or a related field preferred

From $52,000.00 per year
