Job Summary From the moment a patient walks through our doors or calls our clinic, we want them to feel like part of the Country Doctor family. As a Patient Account Representative , you will be the first face or voice our patients encounter, making your role essential to fulfilling our mission. Your strong communication and customer service skills will help create a warm, welcoming experience for everyone who visits or contacts our clinics. In this role, you will support the smooth operation of the clinic by scheduling appointments, greeting and checking in patients, answering phones, performing cashier duties, and maintaining accounts and records. Success in this position requires flexibility, collaboration, and the ability to work effectively with patients, providers, and clinic staff in a fast-paced, team-oriented environment. Job Responsibilities Answering heavy volume of phone calls. Check patients in and out for their Dental appointments. Sending Good Faith Estimates (GFEs) to self-pay patients or to patients that have Dental insurances coverage but are getting a treatment that is not covered by their insurance. Do reminder call confirmations to patients. Distribute incoming mail and faxes to appropriate staff members and send over to outside facilities if needed. Call patients due for Recalls from the Dental workqueue report. Call patients when internal referrals are received to schedule an appointment. Work and reply back to in-basket messages from patients or staff members. Send outgoing referrals to specialty clinics by email or fax. Send or request Dental records for patients. Multitasking with in-person patient and incoming phone calls. Call patients from waiting list to fill schedules. Verifying Dental insurances. Scheduling Dental appointments. Collect appropriate forms and signatures from patients if needed. Check and respond to voicemails on the Dental phones and Dental records email. Print Records from patients or outside facilities from the Dental records email when received. Respond to Epic secure chats received by staff members. Review and call back patients when we received Artera wellApp (text messaging system) for cancelling, rescheduling, or confirming Dental appointments. Have Outgoing mail ready to be sent out to patients. Put patients' paperwork in an interoffice envelope to be sent out for scanning to the patient's charts. Collecting payments from patients. Do the end of day closing and print batch in a daily basis. Work on other tasks assigned by Supervisor. Qualifications Strong communication and customer service skills Ability to remain professional, patient, and welcoming in a fast-paced setting Excellent organizational and time-management abilities Ability to collaborate effectively with patients, providers, and colleagues Experience with medical or clinic front-desk operations preferred Proficiency with computers and scheduling systems is a plus Education & Training High school diploma or equivalent required Previous experience in a healthcare, customer service, or administrative setting preferred Training in medical terminology or front-desk healthcare operations is a plus On-the-job training will be provided
