Job Description

Summary:
The Banquet Administrative Assistant provides comprehensive administrative support to the Banquets Department. This role ensures smooth coordination of banquet operations by managing schedules, documentation, communication, and guest service details. The assistant acts as a liaison between banquet leadership, staff, clients, and other resort departments to deliver exceptional event experiences.
Responsibilities:
File and maintain changes on banquet event orders (BEOs), and departmental reports. Manage banquet calendars, schedules, adding and cancelling associates shifts, maintaining digital schedule board, and tracking mandatory associate classes and certifications for renewals. Processing payroll, timekeeping, and staffing records, recording attendance infractions, monitoring the call-off line. Assist with banquet inquiries and correspondence. Coordinate with Sales, Catering, Culinary, and Operations teams to ensure event details are accurate and timely. Distribute updated BEOs and event changes to relevant departments. Track guest counts, menu selections, and special requests. Monitor inventory levels of banquet supplies and assist with ordering. Comply with the company's drug-free and tobacco/nicotine-free policy. All other duties as assigned.
Experience/Qualifications:
Minimum one year of previous administrative experience required. Minimum one year of related banquets experience required. Must pass a typing/grammar test with at least 40 wpm. Strong organizational skills with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Ability to multitask and work in a fast-paced environment. Ability to lift to 25 lbs. frequently and 50 lbs. infrequently. Must be able to legally work in the USA.
