Job Description
We are looking for a Front Desk Assistant to support daily front office operations and community activity coordination in California. This contract position has the potential to become permanent and is ideal for someone who enjoys providing excellent customer service, managing administrative tasks, and helping create a welcoming experience for residents and guests. The role blends reception responsibilities with event and facility support, requiring strong organization, professionalism, and the ability to adapt in a fast-paced environment.
Responsibilities:
- Welcome residents, guests, and visitors, provide accurate information, and direct them to the appropriate location or staff member.
- Manage a multi-line phone system by answering incoming calls, relaying messages, and routing inquiries efficiently.
- Support facility reservations by coordinating scheduling details, confirming room setups, and assisting individuals or groups with space requests.
- Assist with community programs and special events by helping organize logistics for social gatherings, performances, and celebrations.
- Maintain calendars, records, and data entry related to facility use, scheduled activities, and departmental reporting.
- Prepare reports, compile statistics, and assist with administrative projects that support recreation and front desk operations.
- Process payments for assigned programs, activities, and event ticket sales while maintaining accurate records.
- Monitor front desk resources and shared materials, including informational displays, posted notices, and equipment check-out items.
- Report facility concerns, safety issues, or visitor-related problems to the appropriate staff or security personnel as needed.
