Full-time Compensation:
$45,000-$50,000 annually, based on experience, plus company benefits About the Role Rock With U Entertainment is looking for an exceptionally organized, thoughtful, and hospitality-minded person to keep our office and studio running smoothly while helping to elevate our client experience. This is a hands-on position combining client hospitality, appointment scheduling, office and studio readiness, supplies, errands, and general company support. You will also help us build a structured client-concierge program focused on remembering meaningful details, recognizing important occasions, and making clients feel genuinely valued throughout their relationship with RWU. The right person notices the little things, follows through without repeated reminders, and enjoys making people feel welcome. You should be equally comfortable greeting an important client, coordinating a thoughtful gift, preparing the studio, answering phones, and completing a local pickup. Responsibilities Answer incoming calls, take accurate messages, and direct inquiries appropriately. Schedule and confirm music appointments, sales calls, and other meetings. Help ensure appropriate follow-up occurs after meetings, calls, events, and important client interactions. Prepare and reset the studio for appointments, rehearsals, meetings, and other scheduled uses. Monitor the cleanliness and appearance of the office, studio, kitchen, bathrooms, and common areas. Monitor and order routine office, kitchen, bathroom, hospitality, and studio supplies. Prepare for client visits by gathering relevant information and ensuring the office or studio is ready. Greet clients, vendors, performers, and visitors and create a polished arrival experience. Receive and distribute mail, packages, deliveries, and supplies. Complete local errands, pickups, and drop-offs and submit receipts and purchase records. Help develop and maintain RWU's client-experience and hospitality program. Coordinate (approved) personalized client touches. Maintain the employee birthday calendar and coordinate approved acknowledgments Provide general administrative, office, studio, and hospitality support as needed. What We're Looking For A naturally engaging, energetic personality with contagious enthusiasm (i.e. the kind of person who wins people over within the first minute of a phone call or interaction) Exceptionally organized, dependable, proactive, and attentive to detail. Warm, polished, and comfortable communicating with clients and visitors. Strong scheduling, communication, and follow-through skills. Able to remember and document important information accurately. Thoughtful and creative about hospitality while remaining mindful of budgets. Comfortable balancing client-facing, administrative, and hands-on responsibilities. Professional and discreet with client, employee, and company information. Proficient with email, electronic calendars, and common office technology. Able to manage multiple priorities without allowing details to fall through the cracks. Engagement Candidates must bring either an exceptional client-facing personality and a demonstrated ability to perform the responsibilities of this position, relevant experience in luxury hospitality, high-end restaurants, hotels, private clubs, concierge services, executive assistance, events, or client experience—or, ideally, both.
