•The Front Desk Staff performs daily administrative functions and tasks that allow the entire business to run smoothly. Front Desk Staff is the organization's greatest facet of customer service, working with clients and staff in every way and truly believes in making our facility a safe place where we work hard! As the central hub of our organization, Front Desk Staff must be resilient problem solvers and be able to manage the chaos under stress (the ultimate multi-tasker). Front Desk Staff will collect payments, sign athletes up for classes and waitlists, register new families and issue policies, add tuition charges into our online system, Full Out, and answer the phones and emails promptly. The Front Desk Staff will also liaise with other Business Officer personnel, Program Directors and administrators on the organization's behalf. Front Desk Staff Responsibilities:
Collaborating with colleagues, directors, coordinators and coaches on facilitating successful substitutions and communications Reinforce graduation process for athletes and collaborate with coaches to ensure the processes are taking place; ensuring excellent customer service Inspecting facilities and equipment for cleanliness, safety, and upkeep and coordinating with the appropriate janitorial and maintenance staff for optimal presentation and safety Advocating for the athletes, families, and the programs by participating in administrative or operational functions on a weekly basis Continuous communication with operations staff regarding goals, cross-tower development, and business processes Regular communication with the Chief Operations Officer to ensure continuity of communication regarding program changes, athlete channels for growth, and the orientation of general business processes Utilize Full Out to update class rosters, help train new staff as needed on the application, edit waitlists as required and help new families join our club Collaborate with the Business Office Billing customers and accepting payments Setting up Auto-pay for customers Communicating late fees to families as needed (in-person/call/email/text) The Front Desk Staff will fully embody heart and character, and represent the company in a positive way; avoiding negativity towards the company or anybody working in it The Front Desk Staff will be an example for the children and other coaches, and will be an example of excellent customer service
Front Desk Staff Requirements:
USAG Volunteer Membership or Above and a basic understanding of coaching workflow (you can do this when you get here)
Certifications Required:
USAG Background Check and U110: US Center for Safesport (you can do this when you get here) One+ years experience in administration preferred Excellent customer service Ability to multi-task Excellent interpersonal and communication skills A positive attitude and a team-building mentality Excellent organization and documentation, comfortable in Google Mail, Drive, and Calendar Ability to lead financial conversations with customers Ability to handle scrutiny from parents and the public
Front Desk Staff Duties:
Staff communications via Full Out, Customer communications via Full Out, email and phone Facilitate communication between coaching staff and families as needed Taking payments (cash, check, and credit) and writing receipts Adding tuition charges and managing automatic billing Providing customer service, supporting coaching staff and athletes, and supporting the retail offices as needed Promptly answer emails and voicemails Escalate to leadership if you don't know the answer Signing students up for classes and waitlists (by phone and chat) New student registration and issuance of policies Enter new family information for communication and billing continuity Manage make up classes Load balancing classes as directed by leadership Assist athletes with hair ties, band-aides, tape, drinking cups, etc as required Possess a basic understanding of our class offerings and coaching principles that you can share with families Working on special projects as directed by the leadership Manage daily staff substitutions, update the staff substitutions document Opening or closing the business may be required as part of your shift; during which you will fill the till or reconcile the till and document on the reconciliation sheet, check against the deposit banking report, and prepare a deposit slip and envelope Ensure you are of proper attire and of appropriate hygiene during your shift Follow and assist in enforcing gym policies with a positive attitude Use designated procedures to ensure business continuity Use positive language when working with instructors, athletes, and parents on the gym floor Facilitate communication between towers and be an advocate for everyone in the building Uphold our quality standards and be a voice for heart and character at all times Meet with your Tower once per gym season (School/Comp/Summer)
