Hourly, On-Site Position Overview GoPolar Wellness Spa is seeking a professional, dependable, friendly, and motivated Wellness Spa Associate to oversee daily front desk operations while assisting clients with our specialized wellness and recovery services. This is a hands-on position requiring excellent customer service, multitasking, attention to detail, and the ability to work independently. The ideal candidate will take ownership of the client's experience from the moment they enter the spa until they leave, ensuring every visit is welcoming, safe, organized, and professional. The associate will be responsible for scheduling appointments, processing payments, preparing treatment rooms, operating approved wellness equipment, maintaining cleanliness, and educating clients about our services. 1. Front Desk & Client Relations Greet every client promptly, professionally, and warmly upon arrival. Check clients in for scheduled appointments using Vagaro booking software. Check clients out after their services and accurately process payments. Answer incoming telephone calls and respond to client inquiries. Schedule, confirm, cancel, and reschedule appointments. Assist clients with selecting appropriate services based on their interests, while avoiding medical diagnoses or treatment recommendations. Explain available packages, memberships, promotions, and service pricing. Maintain accurate client profiles, appointment notes, and service records. Verify required intake forms, waivers, and consents are completed before services. Communicate appointment delays, schedule changes, or equipment issues professionally. Resolve routine client concerns and escalate significant complaints to management. Maintain client confidentiality and protect personal information. 2. Wellness Equipment & Service Operations The employee will be trained to safely prepare, operate, and maintain approved wellness equipment according to manufacturer instructions and GoPolar protocols. Float Therapy Prepare FloatLab float rooms and tanks for scheduled clients. Explain the floating process, room amenities, and safety procedures to first-time visitors. Assist clients with understanding the showering process, session controls, and entry and exit procedures. Verify that float rooms are clean, stocked, and ready before each appointment. Perform required water-quality checks and record results according to facility procedures. Follow approved filtration, sanitization, and water-treatment procedures. Clean and disinfect showers, floors, touchpoints, and equipment between sessions. Report water-quality concerns, equipment malfunctions, or unusual conditions immediately. Whole-Body Cryotherapy Prepare the cryotherapy unit for scheduled appointments. Explain session expectations, safety rules, and required protective clothing. Review required screening information and confirm that clients meet established eligibility requirements. Ensure clients remove prohibited items and follow all equipment-specific preparation instructions. Operate cryotherapy equipment only after completing required training and authorization. Monitor clients throughout sessions according to equipment and facility protocols. Stop sessions immediately if safety concerns arise. Clean and prepare the treatment area between clients. Document equipment concerns or client incidents promptly. Infrared Sauna Prepare the infrared sauna before client appointments. Explain session duration, temperature settings, hydration recommendations, and basic safety precautions. Confirm completion of required screening and waivers. Assist clients with operating approved controls. Monitor sessions according to facility policy. Clean and sanitize benches, contact surfaces, and surrounding areas after each appointment. Restock towels and other client amenities. Additional Wellness Services Depending on training and authorization, the associate may also assist with: Normatec compression therapy for legs, hips, and arms. Celluma LED light therapy. Localized cryotherapy. Other noninvasive wellness services offered by GoPolar. Specialized treatments, including Cryo T-Shock, may require separate training, authorization, and supervision before an employee is permitted to perform them. Employees must never perform services beyond their training, professional qualifications, or authorized responsibilities. 3. Appointment Scheduling & Time Management Monitor the daily appointment calendar and prepare for upcoming services. Ensure treatment rooms and equipment are ready before clients arrive. Coordinate overlapping services efficiently. Allow appropriate cleaning, preparation, and equipment turnaround time between appointments. Identify scheduling conflicts and communicate them promptly. Contact clients regarding appointment changes when necessary. Help minimize missed appointments and unnecessary gaps in the schedule. Maintain a smooth client flow during busy periods. 4. Sales, Memberships & Client Retention Educate clients about the benefits and features of GoPolar services using approved, accurate information. Explain membership options, prepaid packages, and current promotions. Recommend additional services when relevant to the client's goals and preferences. Encourage clients to schedule their next appointment before leaving. Assist clients with package renewals and membership questions. Inform existing clients about new services and special offers. Support client retention by providing consistent, personalized customer service. Identify opportunities to improve the overall client experience. Sales should always be professional, informative, and never overly aggressive. 5. Cleaning, Sanitation & Facility Maintenance The Wellness Spa Associate is responsible for maintaining a clean, organized, and welcoming environment throughout the workday.
Responsibilities include:
Clean and disinfect treatment rooms and equipment between clients. Maintain clean float rooms, showers, restrooms, and common areas. Keep the reception desk neat and organized. Wash, dry, fold, and restock towels and linens as needed. Replenish cleaning products, toiletries, and other supplies. Empty trash and maintain general cleanliness. Follow equipment-specific sanitation procedures. Complete opening, closing, and daily cleaning checklists. Notify management of maintenance needs or low inventory. Help maintain a relaxing, professional atmosphere throughout the spa. 6. Opening & Closing Responsibilities Opening Procedures Arrive on time and prepare the spa before the first scheduled appointment. Turn on and inspect equipment according to established procedures. Review the daily appointment schedule. Prepare treatment rooms and client amenities. Confirm the front desk and payment system are operational. Verify required cleaning and water-quality checks have been completed. Ensure the spa is clean, stocked, and ready for clients. Closing Procedures Confirm all client transactions and appointment records are accurate. Clean and sanitize equipment and treatment rooms. Complete required float tank maintenance and documentation. Restock supplies and prepare rooms for the following business day. Secure client records and payment equipment. Shut down equipment according to manufacturer guidelines. Complete the closing checklist and secure the facility. 7. Safety, Professionalism & Accountability Follow all GoPolar Wellness Spa policies and operating procedures. Complete required equipment training before independently conducting sessions. Follow established client screening, sanitation, and emergency procedures. Report accidents, equipment malfunctions, and safety concerns immediately. Never leave clients unattended when active supervision is required. Maintain a professional appearance and positive attitude. Demonstrate reliability, punctuality, honesty, and accountability. Use personal cell phones only as permitted by workplace policy. Maintain professional boundaries and respect client privacy. Treat spa equipment, supplies, and property responsibly. Complete assigned duties without requiring constant supervision. 8. Required Qualifications Strong customer service and interpersonal communication skills. Ability to multitask in a busy appointment-based environment. Comfortable learning and operating specialized wellness equipment. Basic computer skills and willingness to learn Vagaro software. Ability to process payments accurately. Strong organizational skills and attention to detail. Dependable attendance and punctuality. Ability to work independently and take initiative. Preferred Qualifications Previous experience in a spa, wellness center, fitness facility, hospitality, or customer service environment. Prior experience with cryotherapy, float therapy, or infrared sauna operations. Previous spa experience is preferred but not required. Training will be provided. 9.
