Hogg Therapy Pediatrics is seeking an upbeat, fast-paced, problem-solving Referral Intake Team Member to join our team! Hogg Therapy is a family and therapist owned practice that is passionate about what we do both in the clinic and in the community. We have three clinics located in Richmond, Berea and Lexington, that serve Central Kentucky. We exist to make an impact both in the clinic and in the community to fulfill our mission of "Empowering Children to Conquer Their World." As Referral Intake, you're the first impression of HTP. You'll work in conjunction with Patient Intake to create a seamless transition from the initial point of contact to scheduling the initial evaluation. You'll manage a clinic phone line and fax operations across locations, support families with getting their referral, new patient paperwork completed, and insurance benefits reviewed. You'll collaborate daily with other operations team members including Patient Intake, Billing, and Scheduling. __________________________________

What You'll Do:
Phone/Fax Operations Answer and route calls across clinic extensions; triage questions to the right team (Patient Access, Billing, Operations) Outbound calling to new clients (100+ weekly) Follow escalation pathways for upset callers; never blind-transfer leadership calls. Retrieve and return voicemails throughout the day; document each message/action Manage HTP Fax in regard to all things referral related Manage All New Client Inquires and Referrals Manage screenings, social media, internal/extrernal referrals and parent inquiries Input client data onto Referral Log Contact family within 24-48 hours to acknowledge we got their referral and to collect insurance, intake paperwork and concerns Request needed referrals from pediatricians Manage Fusion Account Creation and Intake Paperwork Create Fusion accounts for new clients and input their information Send intake paperwork request to potential client with appropriate follow ups Update status tab on Referral Log for intake paperwork and Fusion account status Review completed intake paperwork Complete Insurance Benefit Verification (and Re-Verification) & Eligibility Verify in network insurance coverage or communicate private pay rates Work with insurance companies to verify therapy eligibility and benefit details Reverify coverage as needed __________________________________ Qualifications Front desk, medical receptionist, or scheduler experience preferred (pediatrics/therapy a plus). Confident and friendly phone presence; excellent verbal and written communication. Strong organization and follow-through with multiple logs, lists, and deadlines. Comfortable learning EMR/CRM tools (Fusion experience a plus). Team-first mindset; steady under pressure; solution-oriented. __________________________________
