In this full-time role, you will manage end-to-end patient communication, orchestrate lead management pipelines, and deliver a pristine, high-touch environment for our high-profile clients. Key Responsibilities Patient Communication & Front Desk Operations Brand Ambassadorship:
Warmly greet arriving patients, maintain an immaculate reception space, and deliver a high-discretion, VIP experience from start to finish.
Omnichannel Inquiry Management:
Serve as the primary point of contact for incoming patient inquiries across phone, SMS, direct email, and the athenaOne Patient Portal .
Appointment Orchestration:
Oversee daily patient scheduling, calendar optimization, check-ins/check-outs, and intake document collection.
Lead Management & Growth Pipeline Ownership:
Promptly capture, track, and follow up with new patient leads across digital marketing channels, web inquiries, and referrals.
Conversion & Onboarding:
Educate prospective patients on CorAeon's specialized offerings, guide them through onboarding workflows, and convert incoming interest into confirmed consultations.
Cross-Functional Routing:
Collaborate closely with clinical staff to route urgent medical inquiries, relay updates, and maintain seamless patient handoffs. Administrative & System Management Maintain accurate medical records, demographics, and billing details within athenaOne . Coordinate direct messaging, document storage, and internal communications via Google Workspace . Manage daily register balancing, copay/fee collection, and pre-visit insurance/intake verifications.
Qualifications & Requirements Experience:
Minimum of 2-3 years of front desk, patient coordination, or reception experience in a high-end medical practice, concierge clinic, integrative health center, or luxury hospitality environment.
EMR Expertise:
Direct, hands-on experience using athenaOne (Athenahealth) for scheduling, portal management, and patient messaging is required .
Lead Management Skills:
Demonstrated background managing prospective client pipelines, executing timely follow-ups, and driving patient acquisition.
Digital Literacy:
Proficiency with Google Workspace, digital communication platforms, and modern scheduling tools.
Professionalism:
Exceptional verbal and written communication, a immaculate personal presentation, and an uncompromising commitment to patient confidentiality (HIPAA compliance).
Adaptability:
