Job Description
We are looking for a trusted, detail-oriented Office Administrative Assistant & Family Concierge to support a busy family. Your job is to stay one step ahead of the family and help bring calm, structure, and continuity to daily life. Success in this role requires warmth, discretion, and the ability to anticipate needs while building strong, respectful relationships with all members of the team. Office Administrative Assistant role responsibilities include: Business Entity Administrative Services
- Bill Entry and Payments
- Quarterly & Annual Sales/Use Tax Reports and Annual 1099 Filing
- Annual Business Licenses & Maintain Annual Lists and Minutes
- HOA Administrative Duties & Assist with Reserve Study
- Annual Vehicle, Watercraft and Recreational Vehicle Renewals
- Light Property Management for Office & Residential/Rental Properties
- Beef Event Planning and Annual Renewals
- Monthly Beef Location and Count Worksheet
- Annual Pasture Lease Renewals
- Filing and Annual File Archiving
- Private Foundation Annual Grant Work and Event Planning Family Concierge Services role responsibilities include:
- Administrative Services
- Handle family admin requests, errands, and reservations
- Coordinate events as needed
- Assist with shopping and gifting needs
- Anticipate needs and solve problems proactively
- Teen & College Transition Support
- Maintain forward-looking academic, medical and activity calendars
- Assist with college planning logistics, visits and timelines
- Coordinate testing schedules and application deadlines
- Support summer programs, internships, and move-in logistics
- Calendar & Life Management
- Assist with family-wide calendar integration
- Plan 3-12 months ahead to identify conflicts and opportunities
- Create systems to keep the family organized
- Proactively help plan and coordinate family vacations, travel, and seasonal experiences potentially with travel advisors
- Plan for future major life stages (especially college transitions) Skill Set Needed
- Ability to work under pressure and adapt to changing priorities.
Pay:
$28.00- $30.00 per hour Expected hours: 35.0
