Job Description

Job Summary We are seeking a warm, relationship-driven Client Concierge & Events Coordinator to own the client and prospect experience for our growing team. This is a part-time, hybrid role blending hospitality, client care, warm outreach, and event coordination. You'll be the person who makes sure prospects and clients feel welcomed, followed up with, and taken care of — from first contact through every next step. If you love people, stay effortlessly organized, and notice the details others miss, we want to meet you. This is NOT a cold-calling or hard-sales role; nearly all outreach is with warm contacts who already know and have engaged with us. Responsibilities Personally welcome new prospects, clients, and event registrants, and follow up after calls, consultations, and events Check in with clients throughout their experience and help them understand upcoming meetings, deadlines, and next steps Send reminders, confirm appointments, and support client onboarding and offboarding Conduct outbound calls to warm prospects — event registrants, past attendees, no-shows, and leads who previously expressed interest Re-engage older warm leads, confirm consultations and calls, and encourage qualified prospects to schedule their next conversation Leave professional voicemails and follow up by text or email when appropriate Document every meaningful interaction and follow-up task in the CRM, ensuring each conversation has a clear next step Assist with planning and preparing local events, workshops, and client gatherings, including supplies, signage, and materials Greet attendees, manage registration and check-in, and create a warm, memorable on-site experience Communicate with attendees before and after events, and support event-day logistics, speakers, and leadership Capture attendee information, complete post-event follow-up, and help with event breakdown and organization Escalate questions, concerns, or opportunities to the appropriate team member Maintain accurate, organized notes on client and prospect conversations Skills High emotional intelligence with strong active-listening and rapport-building ability Warm, personable communication style across phone, text, email, and in-person interactions Comfortable with consistent, professional follow-up — persistent without being pushy Excellent organizational skills; comfortable managing calendars, CRM notes, and follow-up lists without relying on memory alone Genuine hospitality mindset with an eye for details that improve the guest or client experience Dependable, responsive, and proactive with clear communication when priorities shift Resourceful problem-solver who can find answers independently Discreet with confidential client and business information Comfortable learning CRM systems, calendars, project management tools, and communication platforms Reliable local transportation, with availability for occasional evening or weekend events Join us if you genuinely enjoy people and believe that thoughtful, consistent follow-up is one of the most powerful forms of customer service.
