MEMBER EXPERIENCE & LODGING COORDINATOR
The Golf Club of Tennessee Kingston Springs, TN About the Position The Golf Club of Tennessee is seeking a personable, highly organized and detail-oriented Member Experience & Lodging Coordinator to help create exceptional experiences for our members and their guests. This position is much more than managing lodging reservations. The Member Experience & Lodging Coordinator serves as an important point of connection between our members, guests and Club team, helping ensure every visit feels personal, seamless and thoughtfully planned. The ideal candidate enjoys getting to know people, remembers the little details, anticipates needs and takes genuine pride in making others feel welcome. This person will become someone our members know they can turn to when planning their time at the Club. What You'll Do Create Exceptional Member Experiences Develop strong relationships with Club members and their guests and become familiar with their preferences, interests and routines. Anticipate needs and identify opportunities to personalize visits and exceed expectations. Coordinate special occasions, celebrations, amenities and personalized touches. Maintain thoughtful and accurate notes regarding member and guest preferences and service history. Communicate important details to the appropriate Club departments so the entire team can provide a seamless experience. Serve as a trusted resource for members when they need assistance planning their time at the Club. Coordinate Pre-Arrival & Concierge Services Communicate with members and guests before arrival to understand their plans, preferences and special requests. Assist with lodging, dining, golf, activities, transportation and other Club arrangements. Help create itineraries and coordinate special experiences. Ensure special requests are clearly documented, communicated and followed through. Work closely with other departments to prepare for special arrivals, celebrations and VIP guests. Manage Lodging Coordination Manage lodging reservations, confirmations, changes and cancellations. Coordinate room assignments and special lodging requests. Maintain accurate lodging, guest and billing information. Monitor arrivals and departures and communicate pertinent information to the appropriate team members. Coordinate with the Club's hospitality team to ensure lodging and guest needs are properly prepared and executed. Maintain accurate records within the Club's lodging and membership systems. Provide During-Stay Support Maintain appropriate communication with members and guests during their stay. Monitor special requests and arrangements to ensure they are completed. Respond promptly and professionally to questions, concerns and changes in plans. Assist with service recovery when something does not meet expectations. Remain engaged until an issue is resolved and the member or guest feels taken care of. Follow Through & Improve the Experience Follow up with members and guests when appropriate after their visit. Capture meaningful preferences, feedback and service details for future visits. Identify recurring requests and opportunities to improve the member and guest experience. Share observations and ideas with Club leadership and department managers. Help create systems and processes that make future visits more personalized, efficient and memorable. The Ideal Candidate We are looking for someone who is naturally warm, polished, proactive and organized and who genuinely enjoys taking care of people.

Anticipates needs rather than waiting to be asked. Is highly organized and comfortable managing multiple details at once. Takes ownership and follows through on commitments. Has a calm, professional approach when handling changes or unexpected situations. Is comfortable working across multiple departments and bringing the right people together. Has good judgment and understands the importance of discretion and confidentiality in a private club environment. Enjoys creating thoughtful touches and memorable experiences. Is comfortable learning and using reservation, membership and other Club technology systems. Takes pride in representing the Club and creating a welcoming environment for members and their guests. Hospitality experience is strongly preferred, particularly experience in a private club, luxury hotel, resort or other high-touch service environment. We are also interested in candidates with strong relationship-building, organizational or customer-service backgrounds who demonstrate the right personality and instincts for the position. What This Position Is — and Isn't This is not simply a reservations or front-desk position . The successful candidate will spend significant time communicating with members, planning visits, coordinating details, learning preferences and making connections across the Club. You will not be expected to personally perform every member or guest request. Instead, you will be responsible for knowing what needs to happen, who needs to be involved and making sure the details don't fall through the cracks. You will be an important part of the Club's hospitality team and a key resource in creating a consistent, personalized member experience. Why Join The Golf Club of Tennessee?
