Job Description
Job Summary We are seeking an energetic and highly organized Front Desk Concierge to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your positive attitude, strong communication skills, and ability to multitask will help create a professional and inviting environment for clients, visitors, and team members alike. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and taking accurate messages. Handle front desk duties such as check-ins, appointment scheduling, and visitor sign-in procedures. Maintain organized office operations by managing filing systems, data entry, and document proofreading. Support administrative tasks including calendar management, appointment coordination, and basic bookkeeping using QuickBooks or similar software. Assist with client communication via email and phone, providing support and information as needed. Oversee office supplies inventory and coordinate with vendors for procurement when necessary. Experience Previous office management or administrative experience in a busy environment is preferred. Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and general computer literacy. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Experience with multi-line phone systems, phone reception duties, and maintaining professional phone etiquette. Bilingual abilities are a plus to better serve diverse clients and visitors. Demonstrated clerical skills such as data entry, proofreading, filing, and document management. Personal assistant or customer support experience is advantageous for handling client communication smoothly.
