Job Description
Overview The City of Amesbury (estimated population 18,000), a dynamic Merrimack Valley community rich in tradition with a vibrant and expanding economic base, is seeking a strong candidate to serve as the recreation office manager. The purpose of this position is to provide administrative support and clerical duties within the recreation office and supporting various programs and special events. This may involve working at programs with occasional nights and weekends. Applicant should enjoy engaging the public in person and on the phone enthusiastically and patiently. They should be able to work both independently and collaboratively. Candidates should possess a strong work ethic, flexibility, and problem-solving abilities. Responsibilities Oversee daily office operations, including program registrations, program and activity input into my rec software, and managing confidential information with professionalism and discretion Coordinate and plan recreational events, activities, and programs from inception to completion, ensuring all logistics are handled efficiently. Manage vendor relationships, including negotiating and confirming contracts, consistent communication, and maintaining service quality standards Facility reservations, special event permits and calculating fees. Handle client communication via phone, email, and in-person interactions with excellent customer service skills Maintain accurate records of budgets, expenses, payroll, and bookkeeping tasks using Microsoft Office tools and spreadsheets. Keep equipment and supplies inventory and assures effective and efficient use of program materials/ equipment within programming. Qualifications Proven experience in event planning, office management, or administrative roles within recreational or community settings Supervising experience with a track record of leading teams effectively Experience with bookkeeping and budgeting is essential Strong organizational skills with the ability to manage multiple priorities simultaneously Excellent communication skills—both verbal and written—and phone etiquette Knowledge of human resources functions including payroll processing and staff training development Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets for data tracking and reporting, preference to MYRec software experience.
