Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our pool company's administrative office. This vital role ensures smooth communication, efficient scheduling, and effective management of administrative functions. The ideal candidate will bring energy, attention to detail, and a proactive approach to managing office workflows, vendor relationships, and team coordination. Your leadership will help foster a positive environment that supports both our team and clients, ensuring all administrative tasks are handled with professionalism and enthusiasm. Duties Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professional phone etiquette. Oversee scheduling for service appointments, staff shifts, and special events through effective calendar management. Supervise administrative staff and coordinate training & development initiatives to enhance team performance. Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining strong supplier relationships. Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping to ensure accuracy and compliance. Maintain organized filing systems for client records, service reports, and legal documents; ensure confidentiality at all times. Coordinate event planning for company promotions or community outreach activities to boost brand visibility. Support human resources functions including onboarding new employees, managing employee records, and addressing HR inquiries related to office policies. Qualifications Proven experience in office management or administrative roles within a service-oriented environment; supervisory experience is preferred. Strong proficiency with QuickBooks accounting software and excellent bookkeeping skills. Demonstrated ability in schedule management, calendar coordination, and multi-tasking in busy settings. Experience with vendor management, contract negotiations, and budget oversight. Familiarity with human resources practices including payroll processing and employee onboarding. Excellent communication skills combined with organizational skills that ensure efficient workflow and team collaboration. Prior experience in medical office management or similar fields is a plus but not required. Ability to handle clerical tasks such as filing, data entry, and front desk operations with professionalism. Pay:
$18.00 - $25.00 per hour
