Store Owners About the Position We are looking for a highly organized, dependable, and knowledgeable Event Coordinator to take ownership of our organized-play and event program. Our store has a 96-player play space and hosts a wide variety of trading card games, tabletop games, tournaments, community nights, and specialty events. The Event Coordinator will be responsible for making sure these events are scheduled accurately, properly promoted, well-run, documented, and continually growing . This is a position for someone who takes pride in getting the details right. The ideal candidate is proactive, communicative, trustworthy, and genuinely interested in building a long-term career with our store. This person will work directly with the store owners and sales associates to ensure our event program operates smoothly and continues to grow. Key Responsibilities Event Scheduling & Calendar Management Maintain and manage the store's complete event schedule. Schedule events accurately and on time. Maintain the monthly event calendar and ensure all information is correct before publication. Verify event dates, times, formats, entry fees, prizing, registration requirements, and other event details. Ensure the monthly calendar is published on time both in-store and online . Monitor competing local event schedules to avoid unnecessary conflicts with other stores whenever possible. Identify scheduling opportunities that may improve attendance and participation. Event Operations Ensure staff have everything they need to run each event successfully. Provide staff with clear event information, including formats, schedules, entry requirements, and prize structures. Verify that events are being run correctly and according to the advertised format. Ensure event results and required reporting are completed accurately and on time. Follow up on any event that was not run correctly or was not properly reported. Identify operational problems and communicate them to the store owners promptly. Prize Management Develop and communicate prize structures for events. Determine whether prize structures are appropriate for both the store and the players. Organize and prepare event prizes in advance. Clearly communicate prize information to staff. Verify that prizes are properly accounted for and distributed. Maintain accurate records of event prizing and inventory. Ensure event prizes are handled responsibly and securely. Distributor & Product Coordination Communicate with distributors regarding products needed for upcoming events. Identify upcoming event-related product needs early enough to allow for ordering. Track products and promotional materials needed for organized play. Communicate allocation-related needs and event requirements to the store owners. Social Media & Event Promotion Create promotional posts for all store events. Schedule and publish event content across: Facebook Facebook Groups Instagram Discord TikTok Create short-form video content to promote events when appropriate. Ensure event information is consistent across all platforms. Promote events consistently rather than simply posting them once. Monitor engagement and attendance to determine which promotional strategies are working. Develop new promotional ideas to increase attendance and participation. Event Growth & Community Development Monitor attendance patterns across all organized-play events. Identify events with declining or consistently low attendance. Communicate attendance concerns to the store owners. Develop and propose solutions to improve attendance. Look for opportunities to grow existing events and develop new community events. Pay attention to player feedback and community trends. Help create an environment that encourages players to return and participate regularly. Identify opportunities to cross-promote events and bring players from one game community into other store events. Unlimited Gundam TCG Union Arena Weiss Schwarz Hololive Palworld Cyberpunk Warhammer Miniature Paint Nights RPG Nights Wintertime Community Markets The Event Coordinator will be responsible for helping maintain and grow this diverse event schedule while staying informed about changes to organized play, formats, tournament requirements, and promotional opportunities. Communication & Accountability This position requires strong communication skills . The Event Coordinator will communicate directly with: Store owners Sales associates Event staff Distributors Players and community members when appropriate The Event Coordinator is expected to proactively communicate problems rather than waiting for someone else to discover them. For example, if an event is consistently under-attended, a product needed for an event has not arrived, a prize structure is not working, two events are creating scheduling conflicts, or staff are having difficulty running a particular event, the Event Coordinator should identify the issue, communicate it to the owners, and come prepared with potential solutions. Trust & Responsibility This position involves significant responsibility for event products, promotional materials, prizes, and store resources .

Qualifications Required:

Preferred:
Pokémon Professor and/or Judge experience Experience running Pokémon Organized Play events Experience with other TCG tournament systems Experience working in a game store or hobby store Tournament organization experience Experience creating social media content Experience with Facebook Groups, Instagram, Discord, TikTok, and short-form video Familiarity with distributor ordering and organized-play programs Existing knowledge of multiple TCGs What We're Looking For The right person is someone who takes ownership . You don't need to be an expert in every game we carry, but you should be willing and able to learn. You should enjoy organized play, understand what makes a good player experience, and be comfortable managing a large number of moving parts. You should be the type of person who notices: "That event is missing from next month's calendar." "We need to order that prize product now." "These two events are competing for the same players." "Attendance for this event has dropped for three weeks in a row. We should figure out why." "The prize structure isn't giving players enough reason to come back." "We need to promote this event more than once." And then create a way to tackle these issues, and bring this to owners. Success in This Position Success in this role means our event program is: Accurate Organized Properly reported Properly promoted Financially responsible Consistently growing Attractive to players Competitive within the local gaming community Supporting the store's ability to qualify for organized-play product allocations Our events are an important part of our business. This position plays a direct role in helping us maintain and grow that program. Compensation $18.00-$25.00 per hour , depending on experience, qualifications, and demonstrated ability to independently manage organized play. Candidates with significant tournament experience, Pokémon Professor/Judge experience, strong TCG knowledge, and proven event-management or social-media experience may qualify toward the higher end of the range.
