Monthly Events / Team-Building Activities 1-2 Catered Lunches Per Month In-House Fitness Center Office Snacks Who we're looking for: Colossal is seeking a dynamic, highly organized, and logistics-driven Event Manager to plan and execute all event-related prize experiences for our Champions and Finalists. In this role, you will lead each experience from start to finish - coordinating key logistics, managing timelines, and providing on-site support to ensure seamless execution. The ideal candidate has a strong background in event planning, exceptional attention to detail, and a passion for creating thoughtful, memorable experiences. Key Responsibilities:
Event Strategy & Planning Plan, coordinate, and execute all logistical aspects of competition experiences. Develop comprehensive event timelines, budgets, and operational plans to ensure successful delivery. Manage event budgets by tracking expenses, processing receipts, and identifying cost-saving opportunities. Source, negotiate, and manage vendor relationships, including contracts, pricing, and performance for catering, entertainment, transportation, accommodations, and other event services. Oversee on-site event operations, troubleshoot issues as they arise, and ensure all events are delivered professionally, efficiently, and in alignment with organizational goals. Evaluate event success through post-event evaluations. Cross-Functional Collaboration Collaborate with cross-functional departments to identify on-site needs and coordinate logistics for photoshoots, welcome receptions, dinners, and other competition experience-related activities. Manage executive team participation at events by coordinating schedules with executive assistants, confirming attendance, and providing all necessary event information, briefing materials, and logistical details. Support other Colossal events, as needed Legacy Network & Community Engagement Partner with the Champion Engagement Manager to plan, coordinate, and execute Legacy Network events and experiences that foster meaningful community engagement. Support programming that strengthens long-term relationships with champions and finalists through both virtual and in-person events.
Our ideal candidate has:
3+ years of experience in event management, hospitality, experiential marketing, or a related field. Strong organizational and project management skills, with the ability to manage multiple experiences and timelines simultaneously. Exceptional attention to detail and a proactive, solutions-oriented approach. Experience coordinating travel, accommodations, transportation, venues, vendors, and on-site logistics. Strong written and verbal communication skills, with the ability to build positive relationships with Champions, Finalists, vendors, and internal team members. The ability to remain calm, adaptable, and resourceful when navigating last-minute changes or unexpected challenges. A hospitality-first mindset and a passion for creating thoughtful, personalized, and memorable experiences. Experience managing event budgets, contracts, schedules, and other key planning documents. The ability to work both independently and collaboratively in a fast-paced environment. Flexibility to work occasional evenings or weekends based on event schedules. Willingness to travel up to 20% for Champion and Finalist experiences.
