Summary of Position The Food & Beverage Events Coordinator is responsible for planning, coordinating, and flawlessly executing luxury dining and special event experiences throughout the hotel. This role serves as the primary liaison between guests, clients, culinary teams, restaurant operations, and hotel departments, ensuring exceptional service, personalized experiences, and seamless event execution in alignment with Forbes Travel Guide and luxury hospitality standards. The ideal candidate is highly organized, guest-focused, detail-oriented, and passionate about creating memorable experiences for discerning clientele, including VIPs, social events, corporate functions, private dining experiences, and special celebrations. Roles and Responsibilities Job duties include; although are not limited to: Manage all event inquiries from initial contact through post-event follow-up. Coordinate private dining events, afternoon tea experiences, executive meetings, cocktail receptions, buyouts, milestone celebrations, and hotel special events. Prepare detailed Restaurant Event Orders (REOs), contracts, proposals, and event timelines. Conduct hotel and venue site inspections with prospective clients. Coordinate menus, wine pairings, specialty cocktails, floral arrangements, entertainment, signage, and customized guest experiences. Ensure all event details, including dietary requirements, seating arrangements, room setup diagrams, and VIP preferences, are accurately communicated to operational teams. Deliver exceptional personalized service that exceeds guest expectations. Act as the primary contact for event hosts and organizers. Anticipate guest needs and proactively create memorable moments. Coordinate VIP arrivals, high-profile clientele, and special recognition occasions. Respond promptly and professionally to guest requests, feedback, and concerns. Maintain confidentiality and discretion for all guests. Collaborate closely with Culinary, Pastry, Beverage, Restaurant, IRD, Stewarding, Ensure flawless execution of all food and beverage experiences consistent with Forbes and luxury hotel standards. Attend pre-event meetings and operational briefings. Monitor events in real time to ensure service flow, presentation standards, and guest satisfaction. Address operational challenges quickly while maintaining a calm and professional demeanor. Identify opportunities to enhance guest experiences through strategic upselling. Promote premium dining experiences, wine packages, specialty menus, private dining opportunities, and exclusive hotel offerings. Support departmental revenue goals through effective event planning and relationship-building. Assist in developing customized experiences that increase event spend and guest loyalty. Maintain accurate event records, client correspondence, and contracts. Manage deposits, payment schedules, billing details, and final invoicing. Track event revenue, forecasted business levels, and guest feedback. Maintain event calendars and operational schedules. Ensure compliance with hotel financial procedures and internal controls. Partner with Sales, Marketing, Front Office, Housekeeping, Engineering, Security, Spa, and Guest Relations teams. Facilitate communication between departments to ensure flawless execution. Support hotel-wide initiatives, promotional events, and luxury guest experiences.
QUALIFICATIONS
High school diploma or equivalent; culinary school or relevant certification preferred. Previous experience in a restaurant, catering, or food service environment. Strong organizational and time management skills. Excellent communication and teamwork abilities. Proficiency in Microsoft Office suite and F&B management software (e.g., POS systems). Knowledge of food and beverage trends, industry standards, and best practices. Ability to multi-task Strong Interpersonal Skills Spanish language skills would be advantageous Prior experience in administration preferred Self-motivation, and the ability to work with limited supervision Excellent communication skills Flexibility to work evenings, weekends, and holidays as needed.
PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk and working on a computer. Possible prolonged periods of standing. Must be able to lift 15 pounds at times.
