We host a variety of events—from weddings and receptions to corporate functions and cultural celebrations—and we're looking for a dependable, personable, and highly organized Venue Coordinator to join our team. Position Overview As our Venue Coordinator, you will oversee the client experience from the initial inquiry through the successful execution of each event. This role combines client relations, administrative responsibilities, event planning, and day-of event coordination. You will conduct venue tours, prepare contracts, process payments, coordinate with vendors, and serve as the primary point of contact for clients throughout the planning process and on the day of their event. This position offers a balance of busy event days and quieter office days. During slower periods, you'll focus on administrative tasks, client communications, and preparing for upcoming events. Weekends are typically our busiest time, so availability on Fridays, Saturdays, and Sundays is required.
Responsibilities:
Client Relations & Sales Respond to phone calls, emails, and online inquiries in a professional and timely manner. Schedule and conduct venue tours for prospective clients. Build strong relationships with clients and guide them through the booking process. Prepare contracts, invoices, payment schedules, and event paperwork. Collect and process client payments. Maintain organized client files and event records. Event Planning & Coordination Serve as the primary point of contact for clients before and during their event. Coordinate event timelines, floor plans, and logistics. Communicate with vendors, decorators, caterers, DJs, photographers, and other event professionals. Conduct final walkthroughs with clients. Oversee event setup, execution, and breakdown to ensure everything runs smoothly. Handle last-minute changes or issues with professionalism and a positive attitude. Venue Operations Open and close the venue as needed. Ensure the venue is clean, organized, and ready for events. Coordinate vendor arrivals and deliveries. Assist ownership with daily administrative and operational tasks. Order office supplies and maintain an organized workspace. Qualifications Previous experience in customer service, hospitality, event planning, or office administration preferred. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Friendly, professional, and confident interacting with clients. Ability to work independently and stay productive during slower periods. Calm under pressure with strong problem-solving skills. Comfortable using Microsoft Office, email, and basic computer software. Must be available to work weekends and occasional evenings. Bilingual in English and Spanish is a plus, but not required.
