The role may include managing and communicating event planning timelines, day of logistics, creative assistance, tracking budgets, and creating event layouts. Essential Duties and Responsibilities Include the following. Other duties may be assigned. 1. Assist the Associate Director of Signature Events with all event functions. 2. Gather and confirm event details prior to the event day. 3. Work with "Client" (event host) on event-related functions. 4. Coordinate and confirm vendor details, logistics, and compliance. 5. Data entry and organization of event logistics. 6. Support the creative production of events. 7. Maintain and assist with volunteer contacts and communication. 8. Provide on-site assistance with audio-visual, campus information, catering, safety, etc., and assist as liaison for event organizer(s) with on-campus departments. 9. Establish and implement short and long-range organizational goals, objectives, policies, and operating procedures regarding university alumni affinity groups. 10. Assist with the planning and implementation of alumni events and University Advancement marquee events (Parent and Family Weekend, Homecoming, and Grandparents Day). 11. Coordinate Planning Committees for marquee events. 12. Assist in monitoring and evaluating the operational effectiveness of events and effect changes required for improvement. Supervisory Responsibilities This position has no supervisory responsibilities. Ability to assist with the planning of multiple events simultaneously while maintaining a high level of organization and composure. Ability to work flexible hours, including but not limited to early mornings, late evenings, weekends, and holidays.
PHYSICAL DEMANDS
