To promote positive change in the lives of our members and our community through extraordinary fitness experiences. The Role This is an operations role that happens to be inside a gym. We're hiring a Scheduling & Operations Coordinator to run the middle of our day — 11am to 3pm — against a system that already exists: the sessions schedule, the coverage targets, the daily checklist, and client CRM as the record. You don't need to build they systems as they're already built and proven. Instead you execute as described and use judgment in the gaps. From 11 to 3, you operate the Welcome Desk, greeting clients by name, making a shake where needed, but during the slow times owning the schedule: keeping sessions, groups, and coach coverage matched to what the member demand is. This is not a sales role, and it's not a fitness job. Membership sales belong to our Membership Manager. This job's focus is to assure the day runs to the same standard regardless of who's working. Schedule Monday-Friday, 11:00am-3:00pm. 20 hours per week, fixed unless other coverage is needed and you're able. Sessions run until 1pm; 1-3pm is scheduling and operations time. What You Own Scheduling & labor efficiency — maintain the session schedule in our software; open and close groups against bookings; place new members and trials into the right slots; match coach hours to the published coverage targets; handle swaps and call-outs; flag any block running over or under target Daily operations — the front-of-house checklist 11-3; floor notes to the evening team and the next morning's opener; the client requests handoff to next welcome team member so no client needs repeat themselves Time-clock reconciliation — punches against the published schedule daily; missed punches, unscheduled hours, and anyone approaching 40 flagged before each semi-monthly run Client actions — Logging member requests and escalating to appropriate manager when warranted Inventory support — weekly spot checks and reorders for retail and supplies Who You Are You think in checklists and schedules; you've used scheduling, booking, or project software before — the platform doesn't matter, the habit does You notice what's off before being told: the overbooked group, the coach running short, the member standing at the desk unsure who to talk to Calm at the desk when three things happen at once Comfortable, patient and kind with adults over 40 who are getting back into fitness Reliable transportation Restaurant shift leads, medical or dental office coordinators, hotel front-office staff, and boutique studio coordinators tend to be very good at this.
