Broad Functions Provide administrative coordination for Warner Theatre private events and support Front of House operations for performances and other assigned events. For private events, the role is primarily administrative and is responsible for event system entry, documentation, contracting, room diagrams, and distribution of event information. The position works collaboratively with the Concessions Manager, who retains responsibility for private event staffing, supervision of Event Coordinators, and on-site event oversight. For Front of House, the role supports established patron service, safety, accessibility, and performance operations under the direction of the Senior Manager, Front of House, including serving as the Front of House lead for assigned events. Regular private event coverage is not expected except in a backup capacity as needed. Duties and Responsibilities Provide administrative coordination for Warner Theatre private event activity in accordance with established procedures, timelines, and service standards and under the direction of the Senior Director, Events & Patron Services. Create and detail private events in Momentus, maintaining accurate event information, schedules, room usage, client requirements, and operational details as information is confirmed or revised. Prepare and distribute detailed Event Outlines to appropriate internal departments and event partners in accordance with established schedules and deadlines. Create and update room diagrams using Social Tables based on approved event layouts, client requirements, and operational needs. Prepare and process private event contracts in Tripleseat using approved terms, templates, and procedures; route documents for required approvals and maintain complete contract records. Maintain organized event files and administrative records, including correspondence, contracts, diagrams, timelines, and follow-up items, and communicate relevant changes to appropriate departments and partners. Work side by side with the Concessions Manager in support of private event planning and administration. The Concessions Manager retains responsibility for private event staffing, supervision of Event Coordinators, and on-site event oversight. Provide backup support at private events on an as-needed basis when additional coverage is required; regular on-site management of private events is not an ongoing expectation of this position. Support Front of House operations at the Warner Theatre in alignment with established Bushnell and Warner customer service, safety, accessibility, and operational standards and under the direction of the Senior Manager, Front of House. Review performance and event information and communicate assigned Front of House details, changes, and operational needs to staff and volunteers for events being worked. Serve as the Front of House lead for assigned Warner Theatre performances and events, providing event-shift direction to Front of House staff and volunteers in accordance with established staffing plans, policies, and procedures. Responsible for the hiring, scheduling, training, evaluation, and discipline of Front of House staff and volunteers. Serve as a Front of House liaison during assigned events with venue leadership, presenting organizations, production/backstage personnel, and other departments regarding house opening, curtain timing or holds, programs/stuffers, and patron-related operational needs. Support a positive patron experience by responding to guest questions and concerns within established guidelines, assisting with service recovery when appropriate, and escalating issues to senior leadership as needed. Support implementation of established emergency, evacuation, accessibility, incident reporting, closing, and show cancellation procedures during assigned events; promptly communicate incidents or concerns to the appropriate supervisor. Collaborate with the Senior Director, Events & Patron Services; Senior Manager, Front of House; Concessions Manager; and Warner Theatre leadership to support clear communication, consistent event preparation, and a positive guest experience. Consistently and continuously identify and implement AI tools and emerging technologies that streamline workflows, enhance individual productivity, improve data analysis, and increase the overall efficiency and impact of organizational operations. Perform all other appropriate duties and responsibilities when necessary. Education, Experience and Skills College degree (hospitality preferred) with 3-5 years' management experience supervising large, complex staffing resources. Professional work history in venue management and/or the non-profit arts sector strongly encouraged. Proven experience as an event manager. Passion for transforming client's vision into reality. Ability to organize and prioritize multiple responsibilities with strict deadlines. Proven skills in project management. Demonstrated professional communications ability including strong writing skills, a polite and professional verbal manner, and an interpersonal communication style that acknowledges and respects the views of others. Computer savvy with proficiency in Office365 and related applications, Teams, events management software (Tripleseat, Prismm, Artifax), and multi-channel media marketing. Demonstrated ability to sell, persistently follow up on leads and close a deal.Situational:
