The Real Gem Studio LLC is a boutique event planning and coordination agency based in Coral Gables, specializing in intimate weddings, refined corporate gatherings, and thoughtfully curated private events. As we establish our South Florida operations, we are looking for a highly organized, polished, and proactive Part-Time Event Coordinator to work closely with the Founder. This is a hands-on, on-site role for someone who genuinely enjoys making complex events feel effortless. You will play an important part in bringing each event to life, coordinating details behind the scenes, supporting clients and vendors, and helping build the operational foundation of a growing luxury events studio. What you'll do Coordinate weddings, corporate events, and private experiences from planning through execution Research, vet, and recommend venues and vendors based on each client's brief, budget, aesthetic, and service expectations Prepare and maintain timelines, checklists, proposals, vendor information, and event documentation Communicate professionally and warmly with clients, venues, and vendors Coordinate vendor confirmations, logistics, deliveries, and event-day details Attend site visits, venue walkthroughs, setup periods, and event days Support vendor arrivals and ensure timelines are followed on-site Anticipate issues, follow up proactively, and help resolve last-minute changes calmly Keep event information organized and accurate so the Founder can remain focused on the client experience and creative direction Help refine systems and processes as the studio grows Who we're looking for You are someone who notices the details other people miss. You are organized, resourceful, calm under pressure, and comfortable taking ownership of your responsibilities without needing constant direction. Ideally, you bring: 2+ years of experience in events, weddings, hospitality, catering, venue operations, project coordination, or a closely related client-service role Exceptional organizational skills and strong attention to detail Clear, polished written and verbal communication Confidence communicating with clients, vendors, and hospitality partners Strong research, follow-up, and problem-solving skills Professional fluency in English and Spanish French is a strong plus A polished, discreet, and service-oriented approach Genuine interest in hospitality, events, design, and elevated client experiences Ability to remain composed and solutions-focused in fast-moving environments Reliable transportation and willingness to travel throughout South Florida Availability for occasional evenings and weekends based on the event calendar Exceptional candidates with highly relevant transferable experience will also be considered. What we offer $25-$30/hour, based on experience Approximately 15-20 hours per week, with the opportunity for additional hours as the agency grows Mileage reimbursement for approved business travel Direct collaboration with the Founder and meaningful responsibility from the start Hands-on exposure to the South Florida luxury events market The opportunity to help shape processes, standards, and client experiences within a growing boutique agency Potential to grow into a larger coordination, production, or operations role as the studio expands Location & Schedule This is an on-site position based in Coral Gables, Florida. The coordinator will work from The Real Gem Studio's Coral Gables office and travel throughout South Florida as needed for client meetings, venue visits, walkthroughs, vendor appointments, installations, and events. Event work may occasionally require evening and weekend availability. Start date We expect to begin onboarding once our U.S. operations are fully authorized.
